The second option in the ‘Assign Contract Modal’ is ‘Send Contract via Email’ and applies to any media that needs a contract sent to the contributor to be signed and returned to Condé Nast giving permission to use the media.
To send a contract via email to be signed using Docusign make sure the ‘Send Contract via Email’ option is selected and click the blue ‘Next’ button in the ‘Assign Contract Modal’.
The next step will be to search for and select a contributor if they exist in the Condé Nast database. If the searched contributor is missing an email address an update button will be visible to the right of the contributor name which you can click and proceed to add an email address and select them to use.
If you can not find the contributor you are searching for you can click the ‘Create New Contributor’ button. This will display the Create Contributor form where you can choose the type of contributor (Person, Company or Agency) and fill out the required details.
Upon completing the form and clicking the blue ‘Next’ button the form will proceed to the next step with the newly created contributor selected. You will see that the contributor name is pre-filled and read-only The next editable field is the ‘External Signatory’ and this is pre-filled with contributors email address, if it needs to be signed by somebody else on the contributors behalf like an agent then this email address can be changed. The ‘Internal’ field is read-only and is set to the Condé Nast user making the contract request. A description is required of the media being acquired and the rights contract request. You will see a list of all the media you have chosen to be associated with the contract to be sent by email for signature. If it is a paid assignment you can select the checkbox ‘This is a paid assignment’ and add the cost/fee in the ‘fee’ input field. You can preview the contract template pre-filled with the data you have entered by clicking the ‘Preview PDF’ button.
Once you have reviewed the details entered for the contract and are satisfied all is correct you can click the blue ‘Send’ button which will trigger the Contract to be sent to the contributor.
Once you have assigned this contract to your media you will see an updated page with the media with assigned contracts moved to a new section called ‘Contracts Assigned’. You are aiming to get all media from the ‘Add Details’ section to the ‘Contracts Assigned’ section where they will sync to Lucid Link and be rights cleared to use in publications in print and online.
