The third option in the ‘Assign Contract Modal’ is ‘Existing Agreement/Image Provider’ and applies to any media that you have an existing agreement for, this could be an email or an existing contract received from the Media Provider stating permission has been granted for Condé Nast to use the media. Another example for this contract type is a stock provider purchase (other than the Getty Images global subscription) where you have a receipt for the purchase stating the rights of use for the media.

To assign an ‘Existing Agreement / Image Provider’ contract to your media make sure the radio button option is selected and click the blue ‘Next’ button in the ‘Assign Contract Modal’.

The next step will be to search for and select a contributor if they exist in the Condé Nast database and click the blue ‘Next’ button. If the contributor you are searching for is missing an email address an ‘Update’ button will be visible to the right of the contributor name which you can click and proceed to add an email address and select them to use.

If you can not find the contributor you are searching for you can click the ‘Create New Contributor’ button. This will display the Create Contributor form where you can choose the type of contributor (Person, Company or Agency) and fill out the required details.

Upon completing the form and clicking the blue ‘Next’ button the form will proceed to the next step with the newly created contributor selected. The ‘Contributor’ and ‘Contributor Email Address’ field will be pre-filled and read-only. There is a ‘Notes for Business Affairs’ field that you can add any additional and useful information regarding the contract assignment and finally the ‘Add Attachment’ button which is highly important as you can upload the proof of the existing contract e.g. An email proving the contributor has given permission for Condé Nast to use the images, a receipt from a stock provider purchase stating the permission of use.

Once you have assigned this contract to your media you will see an updated page with the media with assigned contracts moved to a new section called ‘Contracts Assigned’. You are aiming to get all media from the ‘Add Details’ section to the ‘Contracts Assigned’ section where they will sync to Lucid Link and be rights cleared to use in publications in print and online.
