The fourth option in the ‘Assign Contract Modal’ is ‘Fair Use/Fair Dealing/Public Domain’ and applies to any media that you have acquired that is deemed ‘Fair Use/Fair Dealing/Public Domain’ and does not require a contract to be created between the authors of the media and Condé Nast.
To assign the ‘Fair Use/Fair Dealing/Public Domain’ option to your media make sure the radio button option is selected and click the blue ‘Next’ button in the ‘Assign Contract Modal’.
The next step will be to leave any notes for business affairs that is useful for them in understanding the nature of the media, additionally you can add an attachment with any proof that you have that the media is ‘Fair Use/Fair Dealing/Public Domain’ by clicking the ‘Add Attachment’ button. Before you can proceed and assign this option to your media you must select the checkbox confirming the following statement ‘I confirm this Media has been approved as Fair Use / Fair Dealing / Public Domain’. Once you have selected this checkbox you can then click the blue ‘Assign’ button to complete the assignment.
Once you have assigned this option to your media you will see an updated page with the media with assigned option moved to a new section called ‘Contracts Assigned’. You are aiming to get all media from the ‘Add Details’ section to the ‘Contracts Assigned’ section where they will sync to Lucid Link and be rights cleared to use in publications in print and online.
If your design/art team are not currently using Lucid Link you can share a link via email to your design team for them to download the media. To do this you can click the 3 dots (kebab menu) icon to the right of the content name in the header. This will display a dropdown with the action ‘Share’ that you can click to trigger the ‘Share Fly-out’. You can only share H-Res Media that have contracts assigned and are rights cleared.
In the ‘Share Fly-out’ you will see options to:
Add Users: Search for users to assign and share the media with
Instructions: A text area for an optional message that is included in the email notification
Share Media: This is set to ‘Hi-Res’ (this only shares the media that has contracts assigned and has permission to be used)
Send Button: Once users have been added you have set the correct permissions click ‘Send’ to trigger an email to them with the ‘Share Link’
Shared with: This table lists all the existing users and the permission levels they have. To remove someone click the three dots icon (kebab menu) to the right of the user name and click the delete action on the dropdown.
