FranchiseLab Recruiter offers a convenient feature that allows users to bulk upload contacts from other systems like CRM’s (such as Zoho, HubSpot, Dynamics or FranConnect) into the FranchiseLab Recruiter platform. This three-step process ensures a seamless and efficient transfer of contact data. Follow the instructions below to successfully upload your contacts.
Start: Click the Upload Contacts button
First, navigate to the Contacts screen and select “Upload Contacts” on the banner at the top right.
Step 1: Uploading the Excel File
Prepare your contact data in an Excel (.xlsx or .csv) file format.
Ensure that the file contains the correct column headers.
The file should have less than 3000 rows to ensure optimal performance.
Validate the following fields in the file:
Name fields: Ensure they are not empty and do not contain special characters. Alphanumeric characters, hyphens, apostrophes, and whitespaces are accepted.
Email fields: Ensure they are not empty and are in a valid email format.
Mobile Number fields: Ensure they are not empty and ensure they are in the correct format for your region.
Phone Number fields: Ensure they do not contain special characters such as plus, whitespaces or brackets. Only numeric characters are accepted.
We recommend using our template file, which can be downloaded directly at this step of the process.
Step 2: Mapping Column Headers with Contact Fields
After uploading the file, you will be prompted to map the column headers with the corresponding contact fields in FranchiseLab Recruiter.
Mandatory fields for mapping are first name, last name, email, and mobile number.
Optional fields for mapping are work number, home number, and address.
Step 3: Reviewing and Correcting Failed Records
Once the mapping is complete, FranchiseLab Recruiter will display the results of the contact import process.
If any records failed to import due to invalid data, only those failed records will not be uploaded, while the correct records will be uploaded successfully.
If there are any failures, you can download an Excel file containing the contacts with invalid records.
Review the downloaded file and correct the invalid records, ensuring they meet the validation criteria mentioned in Step 1.
Start the upload process again, this time selecting only the corrected records file to avoid duplicating previously uploaded contacts.
Note on correcting failed records
It is important to review and clean the failed records separately to prevent re-uploading previously correct records as duplicates.
Troubleshooting
When reviewing your list of failed records, here's what to look out for:

You can try to manually create these records as well via the "Add Contact" form to see exactly which fields are failing and for what reason.
