FranchiseLab offers a powerful way to customise and configure email templates sent to potential franchisee candidates. By leveraging variables and other configurable options, you can personalise emails to meet your brand’s requirements and match your business’s identity.
What are variables?
One way to customize your email templates is to use variables. Variables allow you to insert dynamic content into your emails, which is then populated with information that is specific to the candidate, the sender or the business. To use variables in your email templates, you can use the following syntax: [VariableName].
For instance, if you want to include the first name of the user who sends the email, you would include the [UserFirstName] variable in the template.
How to use variables
Here's how to use dynamic variables in your email templates:
Log in to your FranchiseLab account, navigate to Settings, Configuration, and then Email Templates to view the email template editor. You should see tabs for both the Information Request and the Self Assessment. Note that only System Admins can configure email templates & system settings.
In the email template editor, place your cursor where you want to insert the dynamic variable.
Insert the dynamic variable by typing it exactly as it appears in the list below. Note that the variable is enclosed in square brackets and is case-sensitive.
Once you have added your dynamic variables, save the email template.
When you send an email to a candidate, the dynamic variables will be replaced with the relevant data based on the context of the email.
Note: It's important to remember that dynamic variables are only replaced with data when the email is sent. When you are previewing your email template, you will see the dynamic variable as it appears in the email template editor.
Variables list
Here are the dynamic variables available:
[CandidateName]
This variable will be replaced with the first name of the candidate who is receiving the email. This data is pulled from the name of the candidate on their contact record. If you update their name on their contact record, any new emails sent out will have the updated name.
[UserFirstName]
This variable will be replaced with the first name of the logged-in user who is sending the email to the candidate. This data is pulled from Settings > My Account screen. Updating your name there will update this variable for any new emails sent out.
[UserLastName]
This variable will be replaced with the last name of the logged-in user who is sending the email to the candidate. This data is pulled from Settings > My Account screen. Updating your name there will update this variable for any new emails sent out.
[Position]
This variable will be replaced with the position of the logged-in user who is sending the email to the candidate. This data is pulled from Settings > My Account screen. Updating your position there will update this variable for any new emails sent out.
[BrandName]
This variable will be replaced with your brand name, the name of the franchise/brand for which the candidate is being assessed. This data is pulled from Settings > Configuration screen. Updating your Company Name there will update this variable for any new emails sent out.
[phoneNumbers]
This variable will be replaced with the contact phone number of the franchise/brand for which the candidate is being assessed. This data is pulled from Settings > Configuration screen. Updating your Contact Number there will update this variable for any new emails sent out.
[ContactEmail]
This variable will be replaced with the contact email of the franchise/brand for which the candidate is being assessed. This data is pulled from Settings > Configuration screen. Updating your Contact Email there will update this variable for any new emails sent out.
[Franchisee]
This variable will be replaced with the Replaceable Term which your brand uses to refer to franchisees, with the first letter in uppercase. This data is pulled from Settings > Configuration screen. Updating the drop-down under the Replaceable Terms > Franchisee section there will update this variable for any new emails sent out.
[franchisee]
This variable will be replaced with the Replaceable Term which your brand uses to refer to franchisees, with the first letter in lowercase. This data is pulled from Settings > Configuration screen. Updating the drop-down under the Replaceable Terms > franchisee section there will update this variable with any new emails sent out.
Customising your emails
Apart from variables, FranchiseLab Recruiter also provides other configurable options, such as font family, font color, background color, and more, that can be used to customise the look and feel of your emails. These options can be accessed by going to Settings and then Configuration. You can view the article "Configure FranchiseLab Recruiter" to read more.
If you want to change the font family, simply select the desired option from the Font Family dropdown menu. Similarly, to change the background or font color, select the desired option from the corresponding color picker.
