How to edit or update a status, assignee or priority

This article is a guide on how to edit or update an enquiry or application status, assignee or priority on FranchiseLab Recruiter.

FranchiseLab Recruiter has a few means of tracking enquiries and applications.

  • Statuses allow you to clearly see what stage an enquiry or application is at.

  • Allocating an Assignee to an Enquiry or Application enables each of your team members to see who is working on each.

  • Setting a priority allows you set an urgency on an Enquiry or Application.

How to edit or update the assignee for an enquiry or application

1. Go to the Enquiries or Applications page and find the relevant candidate using the Search function.

2. Under the heading that says ‘Assignee’ click on the initials or people symbol (if unassigned previously)

3. Select which assignee you want to set for this candidate from the drop-down list that appears.

4. The assignee initials will update accordingly.

How to edit or assign the priority of an enquiry or application

1. Go to the Enquiries or Applications page and find the relevant candidate using the Search function.

2. Under the heading that says ‘Priority’ click on the flag.

3. Select which priority you want to set for this candidate from the drop-down list that appears.

4. The flag and priority status will update accordingly.

How to edit or assign the status of an enquiry

1. Go to the Enquiries page and find the relevant candidate using the Search function.

2. Under the ‘Status’ heading click on the box and select the appropriate status from the drop-down list of options.

3. The status will update accordingly.

Important notes about ‘Closed’ and ‘Proceed’ statuses

Closed status: if you change an enquiry status to ‘closed’, it will be removed from the Enquiries page. You will receive a prompt to confirm you wish to go ahead.

Closed enquiries can be found by filtering by ‘closed’ status on the Enquiries page but are not able to be re-opened.

Proceed status: if you change an enquiry status to ‘proceed’, it will be removed from the Enquiries page, and a new application will automatically be created. You will receive a prompt to confirm you wish to go ahead.

Similar to closed enquiries, enquiries which have proceeded to applications can be found by filtering by ‘proceed’ status on the Enquiries page, but you will not be able to edit the status again at this point.

How to edit or assign the status of an application

1. Go to the Applications page and find the relevant candidate using the Search function.

2. Click on the candidate name to take you to their application page. In the top right corner find the box with the status on it (default is ‘New’), click on the box and select the appropriate status from the drop-down list of options.

3. The status will update accordingly.

Note you can also edit the application priority and assignee in this view.

Similarly, assignee, priority and status can also be edited using the icons in the top right corner of a candidate enquiry page.

How to assign for multiple enquiries/applications at the same time

You can edit or assign the status, assignee and priority for multiple enquiries or applications at the same time.

1. To do this, navigate to the main enquiries or applications page and use the tick box on the left of the names to select the relevant enquiries or applications.

2. Click on the option you wish to edit using the buttons at the top of the screen – set status, assignee or priority from left to right.

3. Select the option you want to change all selected enquiries/applications to from the drop-down list, for example, see ‘set priority’ to ‘high’ below.

4. Click ‘Confirm’ on the pop-up modal to confirm your selection.

The change will now take effect for the selected enquiries/applications.
