Utilising Groups for multi-team, multi-brand or multi-regional operations

This feature is ideal for when you need to categorise and manage your candidates and teams efficiently into distinct groups.

In the diverse landscape of franchise operations, the need for organisation and segmentation is key. FranchiseLab Recruiter’s 'Groups' functionality is designed to cater to franchisors managing multi-country, multi-brand, multi-team, or multi-territory operations. This feature is ideal for when you need to categorise and manage your candidates and teams efficiently into distinct groups.

When to Use Groups

  • Multi-Country Operations: Managing candidates across different countries, each with unique requirements and processes.

  • Multi-Brand Management: Operating under multiple brands and needing to keep branding and candidate processes distinct.

  • Team Segmentation: When different recruitment teams handle different territories or brands.

  • Multi-Territory Operations: If your franchise operates in multiple territories and needs to manage candidates accordingly.

Enabling Groups

Access to multiple Groups requires a Professional or Enterprise Plan. You can contact us to find out more about our plans.

Initial Setup

  • Contact Support: To enable the Groups functionality, you need to reach out to our support team.

  • Plan Requirement: Ensure you are subscribed to the appropriate plan. The Professional plan includes one additional group by default, while the Enterprise plan allows for up to four groups.

  • API Integration: If you're using Groups functionality with the API integration, you will have access to Group ID's for each Group to use as part of your API's on the API Settings screen. Please refer to the API documentation for more information on using the API Integration with Groups.

Configuration of Groups

Accessing Group Settings

  • Once Groups are enabled, each group will have its configuration setting. In the 'Settings' screen, you will see a separate 'Configuration' screen for each group.

Customising Each Group

  • Branding Settings: Customise the branding for each group. This is especially useful for multi-brand operations.

  • Custom Assesment & Platform Settings: Customise the weightings, recruitment checklist and more for each group. If enabled in your plan, set up distinct Information Request (IR) questions for each group, catering to different regional or brand-specific needs. You can also set custom contact fields for each group.

  • Regional Settings: Set up regional settings like currency for each group separately.

Managing Users in Groups

  • Admin Visibility: Admins can view data across all groups.

  • Manager Assignment: Managers must be assigned to specific groups. They will only see candidate data from their assigned groups. When editing or creating a manager's profile, select the relevant groups to assign the manager to. A manager can belong to more than one group.

  • User Assignment: Users must be assigned to specific groups. They will only have access to Applications and Enquiries that they have been assigned to. When editing or creating a user profile, select the relevant groups to assign the user to. A user can belong to more than one group.

Assigning Candidates to Groups

  • Creating Contacts: When creating a contact (including enquiries and applications), you'll need to assign them to a group. A candidate can only belong to one group. The branding and template used for Information Request and Self Assessment will correspond to the group the candidate is assigned to.
