We’re offering early access to a Medical Assistant (MA) seat, designed to support collaborative workflows at your clinic. With this Medical Assistant role seat, your team can:
Create placeholder visits in advance
Support the intake process and add relevant context before the encounter
Access notes after the visit is completed
This workflow allows your team to remain compliant without sharing passwords, while still enabling collaborative, team-based care and reducing time spent on updates. All changes are synchronized in real time across every account in the group.
Early access to this feature is available to Premier and Group subscribers and includes one free Medical Assistant seat to try. If you’re an MA, ask your group manager to get you started.
How to Use a Medical Assistant Seat
Before the Encounter
Medical Assistants log in to Freed and use the Scheduled Visits filter to view upcoming visits. They can:
Create placeholder visits and assign them to providers in the clinic
Add relevant context that the provider will see during the encounter
Record intake and create AI generated summary shown for the provider
Update patient profile details to ensure patients are identified correctly
During the Encounter
During the encounter, providers will see the placeholder visit created by the Medical Assistant as an active visit, along with any context that was added. Providers can:
Review the pre-visit context captured by the MA (typed and/or recorded)
Resume recording
After the Encounter
After the encounter, Medical Assistants have access to the completed notes. They can:
Read the completed note (read-only access)
Perform administrative tasks (such as generating documents)
Note: For safety reasons, provider-created notes are locked and read-only for assistants.

This feature is currently in early access. Follow the steps below to get started, or watch the video instructions. As a Group Admin, go to Account Subscription Settings and locate the User Management section.
Convert the existing member to an Assistant seat
If you already have MAs using Freed, you can convert them from the Users table to MA seats. MA seats are more tailored to their workflow and provide a better experience.
Add a new Medical Assistant Seat
To add a new seat, find the new product banner and generate an invite link (email invites aren’t supported yet).
Then share the invite link with your Medical Assistant so they can join your group subscription and start using Freed in the Medical Assistant role.
Note: to use a Medical Assistant seat, Freed will ask to enable patient and note sharing for your clinic if it is not yet activated. Learn more about patient sharing.
