Running the Night Audit

Manually or automatically run the Night Audit to ensure the previous day is locked down and your historical reporting remains consistent

Generally, hotel night audits are performed after midnight. Closing the day’s financial activities validates the work of the previous day’s shift and provides information for the next day’s shift. This routine helps guarantee the accuracy and reliability of your accounting.

In Frontdesk Anywhere, you won’t be forced to perform the Night Audit every single day, but logically you cannot proceed with the auditing for forthcoming days unless you have finished auditing for your previous days. You only need to perform an audit for one day at a time and only once during each day.

In your Frontdesk Anywhere account navigate to the Night Audit tab. From there you will find any guest folios that need attention are automatically generated for Unresolved Arrivals and Unresolved Departures. Underneath the Arrivals and Departures sections will be the guest's folio number (hyperlinked for ease of access), their status (reserved, cancelled etc), their date of arrival/departure, full name, and balance owed (if any). From this list of Unresolved Arrivals and Unresolved Departures, the staff member running the Night Audit must ensure the accuracy of the charges to the guest folios, checking the sum of revenues due from various departments POS outlets and guest rooms. All reservation discrepancies should be checked and acted on where necessary. For example, the current days pending check-outs get listed for extension of stay, or for checking out.

Once you have run the night audit, there are certain changes you will not be able to perform. Let’s see what you can or cannot do after running the night audit. 

1. If a reservation is made as No Show before the Night Audit is run, you cannot do anything with that reservation. Only some information regarding the reservation and guest can be amended.

2. If a reservation is made but hasn't been checked in/cancel/made to No Show (the reservation is unresolved) and then run the Night Audit, the reservation can only be Check in. (Can't be canceled or made to No Show)

If you try to run the Night Audit with unresolved folios, there will be a window popping up to remind you of the unresolved items.

However, there is some information that cannot/can be edited as follows;

–       Check in date, room type/number, number of the guest cannot be changed

–       Rate cannot be edited

–       Check out date can be changed.

–       Other fields like Source, Market etc. in the Duration column can be added/changed

–   Guest information can be added/changed

–        Add-on and POS items can be added. Payment can be made.

–       Charge can be transferred

–       Transfer can be received

–       Comment can be added.

–       Guest can be changed but additional guest can be added if it does not exceed the total number of guest

For a folio that has balance and the night audit has been run, the payment can still be made and you can also still create invoices and apply the payment to it.

For reservation that still hasn't checked out yet, you will not be able to make changes to the room rate. Other functions; change room, POS, Add-on are still able to make amendment.
