Create Individual Reservation

You can create individual reservations easily with a simple click on the Tape Chart. You will need to make sure that the room you are trying to book for the chosen dates is available for the date range of required reservation

DISPLAYING AVAILABILITY

The first way you can start creating a single reservation is by clicking directly on the empty box on your Tape Chart, corresponding to the day and room you want to book.

select Frontdesk --> select STAY DATE on calendar tab --> preview availability for selected room type

REMARK

You can also use the View tabs on the top of your Tape Chart to make sure you have a good understanding of what is and is not available for the selected date range.

Select arrow icon to view availability TAB by room type without room number

Select the box corresponding to the room type , arrival date to make booking, then a reservation window will pop-up

The window is called Reservation Folio. It contains SIX separated sections

RANGE OF STAY : Period of stay, arrival date and departure date

ROOM TYPE AND RATE DEATIL : Information of room number, room type, adult number, children number and room rate

MARKET SEGMENT : Market code, Source Code, OTA confirmation number

RESERVATION DETAIL : Information of arrival detail, departure detail and special request

GUEST PROFILE : Primary guest profile and additional guest profile

TRANSACTION DETAIL : Billing / Cashiering tools and billing information

ENTERING BOOKING INFORMATION

RANGE OF STAY

ARRIVAL --> select booking arrival date from calendar

DEPARTURE --> select booking departure date from calendar

ROOM TYPE AND RATE DETAIL

ROOM NUMBER --> select Change --> select room number (for room assignment)

ROOM TYPE --> select Change --> select room type --> select Unassigned (for unassigned room)

ADULT(s) AND CHILD(s) --> select Edit --> update number of Adult(s) and Child(s) --> SAVE

ROOM RATE --> select Edit Rate --> select ⇓ dropdown arrow to find preferred rate/package --> UPDATE

MARKET SEGMENT

MARKET CODE --> select ⇓ dropdown arrow --> select market type according to reservation

SOURCE CODE --> select ⇓ dropdown arrow --> select source of booking according to reservation

OTA --> update OTA confirmation number (this OTA number is very useful to hotel staff in order to search at LOOK UP function)

RESERVATION DETAIL

select EDIT --> a new window will popup for update booking information according to reservation detail --> SAVE

GUEST PROFILE

select EDIT --> update guest profile information such as First Name, Last Name, Address, Passport etc --> SAVE

To add additional guest profile --> select Additional Guests --> select NEW --> update additional guest detail --> SAVE

REMARK

Additional guest function will not active unless the number of adult is increased or changed according to number of guest

Please add number of Adults prior accessing to Additional Guests

TRANSACTION DETAIL

select TRANSECTION DETAIL --> new window will popup for posting any deposit payment or pre-booked activities/services

update billing instruction and cashier comment at Leave a Comment

Now reservation is completed ! you can select

SAVE to put this completed reservation on HOLD status

RESERVE to put this completed reservation in CONFIRMED status

RELEASE to cancel this completed reservation

REMARK

HOLD status can be turned to RESERVED status

RESERVED status can be turn to CANCELLED status

RELASE is NOT able to turn to any status
