Guards add-on

Add on for security industries. Designed to scan checking points (places) and work on perimeter.

Guards add-on is designed for the security personnel and their daily tasks. It enables real-time tracking of guards activities such as scanning places, filling questionnaires and leaving notes. This combination of scanning and tracking creates a robust system for managing field security operations, ensuring safety, accountability, and operational efficiency. Frontu team believes that Guards add-on will help to optimize field operations while enhancing transparency and communication with clients.

Set up the steps for an object

For the start, you need to go to "Objects" list and select the object where you will add "Steps". Select the object and click "Edit".

Go to the tab "Steps". You will see blue line with possibility to add place, note and questionnaire.

When adding a place, you will be able to select from the dropdown list or create new directly from the table.

When place is selected/created, description field is not required.

You can add as many steps with places as you need. Same is with notes and questionnaires. The questionnaires will also be available in the dropdown list.

When all steps are added, click "Save" button.

If you want to change any of the steps, you can click edit object again, go to "Steps" tab and archive (recycle bin icon) or rearrange the steps (using arrows).

You can always restore archived steps if it is needed. If you can not restore the step related to the place, check if that place is not archived.

Schedules

Objects can have schedules. Usually they are used for managing shifts between different workers.

To add a schedule, first you should choose time interval in the settings. General settings will have "Schedule period" field where you will be able to choose an interval: 5min, 10min, 15min, 20min, 30min, 1 hour.

To add a schedule to an object, find an object, select edit, click "Additional information" and then select time periods.

When schedule is selected, click "Save". The shift schedule will be visible in the detailed view of the object. You can edit it at any time.

Also, all schedules are visible in the separate tab in the settings. You can filter them or even create a new schedule directly from this screen if needed.

Schedules in the application has strict rules and scenarios. You will not be able to review the object's schedule but there are some rules how they work in the application:

  • If the employee starts the task too early, a screen is shown indicating that the task can only be started after a certain amount of time. Once that time passes, the app automatically refreshes the screen.

  • If the employee completes all steps and another check is scheduled, the app displays how much time is left until the next check.

  • If the employee completes all steps and no other check is scheduled, the app displays how much time is left until the end of the task.

  • If the employee doesn’t complete all steps before the next scheduled check, the app disables the remaining steps. After refreshing the data, it shows the first step of the new phase.

  • If the employee doesn’t complete all steps before the end of the task, the app disables the remaining steps. After refreshing the data, the employee is allowed to finish the task.

Work in the application

Each guard has his own executor's code that he must entered in the PIN code field before logging in.

PIN code is created by an administrator. Go to Users > Executors list > + New (for creating new entry)

When logged in to the application, the guard will be able to see all active work orders assigned to him. Completed work orders are not shown.

All uncompleted work orders are visible in this range:

  • 30 minutes before scheduled start time

  • The whole scheduled time (from start to an end)

  • 30 minutes after scheduled end

  • All that are "in progress"

If there is no scheduled work orders, user will see an empty screen with a message "You have to tasks at this moment".

However if there are already planned tasks, they all will be visible in one screen. The design is super simple and contains only one button for starting the task.

When the task is started, app user will be able to see and scan places that were added to the "Steps" tab from the administrator.

By scanning QR code of the places, app user will prove he just checked the perimeter and administrator will be able to see his work in the real time.

The guard can complete the task by clicking "Finish task" button only when all the steps are done. Steps can include scanning places, adding remarks and completing questionnaires.

If the user has more shifts (schedules) added, he might see the clock and remaining time until his next check.

When all the shifts are done and work order is completed, scanned places and the scanning time together with all the other added information will be visible in task's detailed view as well as PDF report.

Questionnaires inside the work order

When the company has a process where there is a need to fill a questionnaire during the day but not as a specific step, we have it covered. After completing the work order, the app user can fill the questionnaires.

App user does not see any questionnaires in the inner page until user will not click on Complete button.

When all checks are done and user clicks on Complete button, the notification for unfilled required questionnaires is visible. Now user must fill them before closing the work order completely.

Just click on the required questionnaire and the questions with possible answers will pop. Fill the questionnaite and click "Save".

Have in mind that you can not edit the questionnaire answers after they are selected.

When all required questionnaires are filled, user can complete the work order.

How to set up NFC/QR code to the Place via Frontu app

You will not need a separate application now to set the codes to places in Frontu. From now on you can do it by yourself directly from Frontu app.

In it a super simple process and requires a User+App user role option. Make sure the user has this role uplied before trying this feature.

Log in to the application and you will be abl to see "Set tag for place" button on the top of the main screen.

Click on it and full list of places will appear. Use search to find a place that you want to set a NFC/QR code.

When you find a place, just click on it and scan screen will be opened. If it is the first time, you will see this message asking you to allow Frontu app to take pictures/videos. Click "While using this app" option.

Now you can scan the tag/code. The confirmation pop-up will appear. You can cancel or click "Confirm" if everything looks ok.

There are two options when you click "Confirm" button. The first one is that the code is unique and was successfully assigned to the place. Success message at the bottom of the screen shows that the code was assigned.

However another possibile case is that the code is already used for a different place. This means that the code can not be assigned to a selected place because it is not unique.

The message at the bottom of the screen identifies the issue and mentions the place that is using the scanned code already.

Note: it is BETA version and application is still under construction in certain parts (eg. SOS page)
