The calendar is a coach's easiest point of entry for executing training on a day-to-day and week-to-week basis. All training sessions flow through the calendar, regardless of whether they were scheduled through a plan, through an automation, or directly onto the calendar.
Using the calendar, you can quickly view everything that is scheduled for a given week and access the tools you need to deliver training to your athletes.
Workflows
FYTT is a highly flexible platform that enables you to implement whatever processes are best for your operation. That being said, the following workflows typically work well for most coaches and lead to the greatest efficiencies:
Deploy sessions directly onto the calendar
Deploy database programs directly onto the calendar
Deploy programs from scratch through a plan
Deploy database programs through a plan
After reviewing each of these workflows, you can decide which ones work best for your situation and incorporate them into your operations.
Deploy sessions directly onto the calendar
In some situations, you may want to build sessions "ad hoc" directly onto the calendar. This is probably the least efficient workflow, but you can still work quite fast by mastering the calendar's "power features." You can add sessions directly to the calendar in two ways:
Create a session from scratch
Add a session template from the database
Create a session from scratch
To create a session from scratch directly onto the calendar, simply click on the "plus" button for a given day and time slot.
This opens up the new session form where you can select which group or athlete you want to create the session for.
Clicking save takes you to the session builder where you can start building out the session's workouts. Take a look at the session guide for more information about building sessions.
Add a session template from the database
If you've created session templates in the team or institution databases, you can easily insert those onto the calendar by opening the new session form as before and expanding the "template" option to select a template.
You can also select multiple time slots and insert a session template into all the selected slots at once.

Click on the desired time slots

Select the session and save
You can utilize this pattern to select and copy/paste/delete one or more sessions at a time, giving you the same basic conveniences of a spreadsheet.
Deploy database programs directly onto the calendar
If you've created program templates in the team or institution databases, you can deploy those onto the calendar.
Click the "Schedule program" button in the top right of the screen
Select which program to deploy
Select which group or athlete to deploy the program for
Select a start date and optionally set a start/stop time
Start date
Programs are built in one-week increments starting on Sunday and ending on Saturday. Accordingly, program state date selection is limited to Sundays.
Start & end time
The start and end time setting is applied to all sessions in the program. You can easily drag and drop sessions to different times as needed if session times vary during the week. If the timing of the session is not important, you can ignore it.
Modifying program sessions
Coaches commonly need to modify a session after a program has been deployed to account for some unforeseen circumstance. There are two ways to do this:
Modify the calendar session
When a program is deployed, all the program sessions are copied to the calendar, which means that calendar sessions can be modified without affecting the base program. This is usually the best approach, because it allows you to adapt the program without changing the original template.
βModify the program session
If you modify a session in a program template, those changes will be propagated to all current and future instances of that session. If you made any changes on the calendar, those changes will be overwritten. So keep this in mind when making changes to a program template. If needed, you can see all program enrollments and turn off enrollment sync from the program's settings.
Deploy programs from scratch through a plan
After creating a plan, you have the option to build out programs from scratch along the plan's timeline. As you add workouts to the program days, you will see corresponding sessions on the relevant dates in the calendar.
Unlike program templates in the database, the days in your plan programs will have a specific date.
In this example, the sessions from the plan program above show up on the calendar below on their respective dates.
Program plan modifications
As with modifications to program templates scheduled to the calendar (explained above), any modifications to a plan program will propagate to the calendar sessions and overwrite any changes made from the calendar.
It's usually best to decide how you prefer to make changes to the plan and stick with that workflow to avoid confusion.

Deploy database programs through a plan
You can also add program templates from your team and institution databases to a plan, which will then flow through the calendar. Like explained above, changes to any session on a plan program will propagate to the calendar and overwrite the calendar sessions.
Program template modifications
As explained previously, changing a program template will propagate those changes to all its active enrollments. This includes enrollments deployed through a plan. In other words, changing a program template will push those changes through to any plans where the program is used, and subsequently through to the calendar.

This workflow enables you to deploy a single program for multiple groups or individuals through a plan, and if you make changes to the original template, those changes will be reflected for all enrollments in the plan.
In-person training tools
The calendar gives you a number of tools that help you efficiently deliver content during in-person, coach-directed training sessions. These tools can certainly be utilized in other contexts, so you might think of other applications as you consider your organization's needs.
Attendance
To track athlete attendance for a given session, click on a calendar session to open it, then click the "attendance" button.
This takes you to the attendance view for the session where you can record the attendance status for each athlete, as well as make changes to coach assignments.
Keeping accurate attendance records allows you to use the attendance report to analyze athlete attendance during a given time period.
Auto attendance and default attendance state
Athlete attendance status is set to "present" by default at the beginning of every session. This usually makes sense if the coach is manually taking roll call at the beginning of every session and changing the status for athletes who are not present.

However, if athletes are recording sessions from phones or tablets, many coaches opt to set the default attendance state to "absent" and enable the "auto attendance" feature.
With this combination, athletes are assumed absent until they start the session, which automatically marks them as present.
Digital whiteboard
The digital whiteboard provides a spreadsheet summary of a session. From the whiteboard, you can view and record each set for each athlete. If your athletes are recording their own results from mobile devices, the whiteboard will update in real-time as they record data.
To access the whiteboard, click on a session in the calendar to open the session view, then click the "whiteboard" button.
Each workout in the session is listed on the left side of the screen. Click on a workout to navigate to the workout sheet.
The whiteboard is laid out with a column header for each set in the workout and a row for each athlete in the session. You can navigate the cells and make changes to the values like you would in a normal spreadsheet.
Coach assignments
Within the roster, you have the ability to assign athletes to a coach in connection with their membership on the team or a group. If athletes are assigned to coaches in this way for the given session, each coach's whiteboard will be filtered to just the athletes that are assigned to them. This allows you to organize a training session so that coaches know who they're working with.
Whiteboard workflow
The whiteboard makes it easy to record athlete activities, along with any variance from the original prescription. The workflow for recording data is as follows:
Make changes to the prescription
Save rows to record the work
Change values to record variances from the prescription
Make changes to the prescription
Before any results are recorded as "saved" for an athlete, you can change the prescription for any of the values. This allows you to adjust the workout if needed to account for a change in plans.
Save rows to record the work as complete
Clicking the "save" button for a row records the values for the entire workout as complete. This indicates that the athlete has finished the workout and/or you're ready to record any variances to the prescription. You can click the "save all" button in the top left most cell to save all rows. Saved rows are marked as "done" next to the athlete's name.
Change values to record variances from the prescription
Once you've saved a row, making a change to a cell records a variance from the prescription. Variances are displayed in yellow and both the prescribed and the actual value are displayed.
Coach-directed workflow
This workflow is mainly applicable to a coach-directed workflow where the coach is using the whiteboard to record athlete activities. If athletes are recording results on phones or tablets, the whiteboard will update in real-time, in which case the coach might use the whiteboard as more of a monitoring tool to ensure that athlete results get recorded.
The whiteboard can also be accessed from a simplified tablet view available by logging in at tablet.fytt.io and tapping a session on the calendar.
TV view
You can open a session in TV view, which is a layout optimized for display on a big screen. Click on a session on the calendar, then click on the "TV view" button at the top of the session view.
This displays the session information in a human readable format that you can cast to a big screen for athletes to see.
Export training
Sometimes you may not have the option to deliver training through the software. In these scenarios, FYTT enables you to export your training content in a number of different formats.

Weekly training cards
From the calendar, you can create a PDF training card for each athlete that displays their individualized training prescriptions for the entire week. Click the "export" button at the top of the calendar to open the export screen.
From the export screen, you can search for and select any or all of the athletes on the team, and adjust some preferences for you want the content displayed.
The exported PDF lays out each athlete's training sessions for the week in table that can be printed and filled out by the athletes.
Individualized session cards
If you want to export training cards for each athlete for just a specific session, you can open the session, click the "export" dropdown, and select the "athlete cards" option.
This takes you to the export screen where you can search for and select which athletes to export cards for. The output is a PDF card of the session for each athlete laid out in a table with the athlete's individualized prescriptions.
Individualized coach cards
You can export a session into coach cards, which will create a PDF table for each coach. Each coach's card displays the individualized prescriptions for each athlete assigned to them so that the coach can easily instruct athletes from the table.
Coach cards are scoped by attendance
An important note is that the coach cards only include athletes whose attendance is "present" for the session.
Session overview cards
If you just need to export an overview of the session, you can export a session card. This produces a PDF with the session's workouts laid out in human readable form.
Whiteboard spreadsheet
Session's can be exported into a spreadsheet format that mimics the layout of the digital whiteboard. The file has a sheet for each workout in the session, and each workout sheet contains the individualized prescriptions for each athlete.
Mobile training tools
You can also use the calendar to assist in the delivery of training through mobile devices, either remotely or when athletes are using their phones in-person.
Athlete view
After you've laid out some training on the calendar, it's often helpful to preview what the athlete will see, and to double check that everything is working as expected. FYTT's athlete view simulator helps you do this.

The athlete view is live data
The athlete view allows you to navigate an athlete's schedule just like they would on their personal device. You can even start and complete sessions from this view. However, be aware that the simulator uses live data, so anything you record will be recorded as though you are the athlete.
Session visibility
Programs and sessions have a setting that allows you to restrict athlete visibility of the sessions. When a session's visibility is set to "restricted," athletes cannot see the contents of the session until a coach manually makes it visible.
A restricted session will have a "visible to athletes?" toggle in the session view. You can toggle this setting on or off to control its visibility.
When visibility is "off," athletes can see that there is a session scheduled, but the contents of the session are locked.
Sessions can be unlocked by toggling the visibility to "on" from the session view (see above) or by starting the session from the whiteboard.
