Fyxer AI works superb with both Gmail and Outlook, but the way emails are categorized is a bit different in each, due to how these platforms handle email organization.
How Email Organization Works in Outlook
Folders: Emails can only live in one folder at a time. When moved, they’re no longer visible in the original location (e.g., Inbox or Sent).
Categories: These are color-coded tags (like stickers) that can be applied without moving the email.
How Fyxer Categorizes Emails in Outlook
Fyxer processes emails in your Inbox and Sent folders only. If another Outlook rule moves the email into a custom folder before Fyxer can process it (e.g. “Finance” or “Team Updates”), we’ll skip it.
This avoids interfering with your existing folder rules, and gives you more control.
Example: If you have a rule that moves invoices to a custom folder before it gets to the inbox, Fyxer won’t touch it.
Updated Handling for Sent Emails
We've heard your feedback and made a key improvement.
Previously, Fyxer created two folders - Actioned and Awaiting Reply - but didn’t move sent emails into them. This was confusing, especially since the folder settings didn’t seem to do anything.
Now, here’s how it works:
Fyxer will move the email you replied to (i.e. the thread) based on your categorization settings
Your sent email will stay in Sent Items
You’ll see the entire conversation thread - in both the category folder and in Sent Items (just like in Gmail)
Your Fyxer Category Settings
In your Fyxer AI Dashboard > Preferences > Email Categorization, you can decide how emails behave after being categorized.
Here’s what each checkbox does:
Checked: Email will skip your inbox and go directly into the folder.
Unchecked: Email will stay in your inbox with the category label applied.
Example: An email categorized as “1: To Respond” will:
Be moved to the “1: To Respond” folder if the checkbox is ticked
Stay in your inbox with the label if the checkbox is unticked

Log in to your Fyxer AI Dashboard
Go to Settings > Preferences
Scroll to Email Categorization
Check or uncheck each category based on where you want the emails to go
Click Update Preferences to save
