Tidy up your inbox: Folders vs categories explained

Outlook uses two ways to organize your emails: folders and categories. Fyxer AI works with both to help keep your inbox clean and easy to scan.


Folders

  • Found in your Outlook sidebar

  • Emails are physically moved into folders

  • Emails can only live in one folder at a time (e.g. Inbox or “1: To Respond”)

  • Help file emails away and clear your main inbox



Categories

  • Appear as color-coded tags on emails

  • Do not move the email - they just label it

  • Emails can have multiple categories and still stay in your inbox



How Fyxer AI Uses Both

Fyxer tags every email with a category (e.g. “1: To Respond” in red). What happens next depends on your preferences:

  • Checked box = Email moves to the matching folder

  • Unchecked box = Email stays in your inbox with a colored label

Example: An email tagged "1: To Respond" will:

  • Stay in your inbox with a red label if that category box is checked

  • Be moved to the “1: To Respond” folder if the category box is unchecked
