Make a booking at your Company HQ

This guide will help when you are interested in booking a meeting room or desk at your company's HQ office. Gable has a HQ product, which allows employees to pre-book seats at their company's HQ offices ahead of time.

If your company has HQ Offices set up, you will be able to pre-book a seat at a select office through Gable

Finding your HQ listings

There are two ways to find your HQ offices

  • The first way is to hit the "Company HQ" on the top of your homepage

  • The second way is to hit "Explore Spaces" and if there is a company HQ/ office in that location, it will show first in the top left hand corner.

  • Select the HQ/ office and you will be taken to a floor plan.

  • You can choose the floor, the date, the type of space and any key amenities.

  • Search for available spaces by viewing desks on the floor plan with green dots or scrolling on the left to the “Available” section.

  • Seats that have already been booked will show as "unavailable" or red, if they are booked by colleagues. Desk availability is determined by a red (unavailable) or green (available) dot directly on the map. Hover over each desk to see:

    • Who has booked the desk and/or

    • If the desk has been assigned to either a team or an individual

There are 2 ways you can search:

The first is to filter for what type of workspace you are looking for. You can input the following in your search:

  • Office location

  • Floor (if applicable)

  • Date

  • Space type

  • Amenities

The second is to search for the available space from directly within the floor plan. Click directly on the desk/meeting room/private office you would like to book. You can distinguish between desks that are/aren’t available like so:

  • Available: Green Dot, Purple Circle (Desk) or Orange Circle (Meeting Room)

  • Unavailable: Red Dot, Purple Circle

  • Unavailable (assigned to someone else): Red Dot, Pale Purple Circle

  • Leverage the left-hand panel to search for availability

Booking your HQ Desk or Meeting Room

  • Once you have clicked on the space you would like to book, you may review the amenities available

  • You can add an optional title and description to your booking

  • You can now click "Book now."

Booking Multiple Days for your HQ Desk or Meeting Room

  • If you would like to book multiple days, select the date above "Book Now" and toggle from singular day to multiple day and choose all relevant days.

  • The primary difference between booking a meeting room and booking a desk is that you have the option to add teammates to your booking. You'll follow the same steps as above but instead you'll select the meeting room you would like to book, and from the left hand panel, search by name or department the teammates you would like to invite to your room

  • Please note that you can only add as many people as there are seats available to a Meeting Room booking.

Adding to your Calendar and Inviting teammates to your Booking

  • Once you have booked your desk or meeting room, you will be brought to a pop-up confirming your booking. This is where you can add your booking to your calendar, and or invite teammates to join you on that day.

Viewing and finding your HQ bookings

  • To view your bookings at any time, simply go to "My Bookings" in the top right hand corner.

Cancelling your Booking

  • To get your booking cancelled you'll go to your bookings, find the booking you'd like to cancel. Then hit the three dots on the right, and on the dropdown, choose cancel. You can also see this option on your homepage, see both examples below:

Meeting Room bookings and Google Calendar

  • Gable has a 1-way calendar sync with GCal. This means that when you book a Meeting Room via Gable, that room will be booked within Google. Conversely, when you book a room via GCal, that room will not be available to book in Gable.

  • Please note that if you make modifications via Gable to your Meeting Room booking, you will need to manually reflect those changes in Google, and vice versa.
