Enrollment Forecast

How to configure and generate a production forecast for a school based on enrollment, participation, and take rate.

Written by Souha Alameddine

Enrollment Forecast generates a production forecast for a school based on its enrollment and how students tend to take a meal, instead of entering forecast numbers recipe by recipe.

Setting it up

From Production Records, open the Tools menu and choose Enrollment Forecast. Set:

  • The school's enrollment count. That's the total number of students attending the school.

  • A per-meal participation rate: the share of enrolled students expected to take each meal. Set a different rate per meal, and per meal service if a meal runs more than once a day. For example, if 40% of students eat breakfast and 80% eat lunch, enter 40% for Breakfast and 80% for Lunch. If your school runs two breakfast services and 90% of students eat breakfast across the two combined, split that 90% between them, for example 45% for Breakfast 1 and 45% for Breakfast 2.

A per-category take rate: how participating students split across meal components. A meal can have different lines and compliance categories, like fruits and vegetables, each with its own take rate. Set each as a fixed number or as a percentage of that meal's total or both.

Generating a forecast

Pick a single day or a whole week, and Gaia will then show you which meals are available to choose. Choose one or more production records to generate against.

Generate reports exactly which records succeeded and which didn't, with a reason for any that failed, and the numbers appear on the forecast grid right away.
