Gartner Product Decisions allows you to share boards with other licensed users in your organization — making it easier to collaborate, align, and drive action across teams.

By sharing a board, you ensure everyone is looking at the same curated set of insights—structured and ready to inform action.

How to Share a Board

1. Navigate to My Boards from the homepage or left navigation panel.
2. Open the board you’d like to share.
3. Click the “Share” button in the top right corner of the board.
4. Enter the email address of the colleague you want to invite.
6. Click “Send Invite”.

5. Update their role, if needed.

  • Contributor (Default) – Can add/remove their own assets.

  • Manager – Full permissions to edit, manage access, but cannot delete the board.

📌You can only share with licensed users in your organization. i.e. those who have the same email domain as you.

What Happens Next?

• The invited user will receive an email notification with a direct link to the board.
• The board will also appear under their Shared with Me section in the left navigation.
• Activity indicators (notification dots) will help highlight shared boards with new activity.

Managing Access

To view or change who has access:
1. Open the board.
2. Click the “Share” button to view the current list of contributors and their roles.
3. You can:

  • Change roles (e.g., promote a Contributor to Manager).

  • Remove access for any user.

  • Add additional collaborators at any time.

Good to Know

  • You can only share with licensed users in your organization (cross-org sharing is not currently supported).

  • Email addresses must be entered in full to invite contributors.
