We're all about making your day more efficient, so we've created a few ways you can create and manage your jobs even faster.

Copying a Job

To access either of these functions, navigate to the required Job or Job Template via your Jobs list, and click on it to go to the Job Screen. Next to the job Edit button you will see the context menu (3 dots) and within here you will find the option to Copy Job or Create Template.

In this new Copy Job window you then have the option of instantly creating a new job based on the one you selected, or saving the job as a template. You also have extra tick-box options for using the same Client, Staff or Notes as your existing Job. Click Save when done.

Note: You can also do this with Job Templates. Once you have created them, you can keep going back to create copies. This can be useful if you use the same template for lots of different clients but don't want to fill in each job every time. Simply copy the template, update the client and hit save.

Creating Job Templates

Job Templates are not 'real' jobs, in that they won't appear in your Jobs List. They are simply there to either create copies from or to generate automated recurrences with.

This can be useful if you use the same Job Details for lots of different clients but don't want to fill in each job every time. Simply copy the template, update the client and hit save.

You can add as many details as you need to a job template including: status, description, files, notes, forms etc. Meaning you won't have to manually add them to each new job you create if you start by copying from template.

To create a new Job Template head to the Jobs icon in the navigation bar, from here instead of selecting Jobs, select 'Job Templates'. Once here you can click 'Add Template' to get started.

You'll notice a template has less required fields than a job, this is so that you can use it as a quick start template when creating Jobs. Important to Note: If you want to generate automated recurrences out of a template then you will need to fill in the minimum required fields, more details below.

Job Template Recurrences (Recurring Jobs)

Once you have created a job template, you will then be able to set a recurrence pattern against that template. This means that the system will automatically generate a copy of this template at the set pattern. This can be useful for a client who needs their lawn mowed once a week, or their house cleaned once a month for example.

In order for the recurrence tab to show on your job template, a minimum 4 fields are required to be filled on the template:

  • Client

  • Job Title

  • Job Address

  • 1 or more Booking(s)

Recurrence Pattern

Recurrence Pattern basically means “How (often) do you want the system to automatically generate these jobs?” At the moment you can repeat them in four different ways:

  1. Every X days (for example, clean puppy’s water bowl every 2 days)

  2. Every X weekdays (for example, go to the gym every 2 days, but skip weekends)

  3. On X day, every X weeks (for example, clean the office every second Tuesday)

  4. Day X of every X months (for example, board meeting on 15th of every 6 months)

Recurrence Range

Recurrence Range means “When does this start, and when does it end?” Normally, if you have a term contract with someone, there should be an end date (in case you forget about it at the end of the contract).Or you could be a contractor caretaker that’s paid to do 52 weekly sessions, in this case it should end after 52 repeats.

Recurrence Generation

Once you have set your recurrence and click 'Create Jobs', you will see a list of Jobs populate in the table on screen. By default GeoOp will generate recurring jobs that occur in the next 30 days only. If, for example you have a job that occurs every 2 months, then the next job will not generate until it is 30 days out.

You can update the 30 day to better suit your needs by going to the settings cog in the navigation bar and then clicking 'Extra Features' in the side menu. There is a settings called 'Job Recurrence Limit (Days)'. You can make this as small or as large as you like. This can be useful if you have too many or too few of your recurring jobs generating.

You can view all upcoming recurrences for that Job within the template (shown below). It is important to note the recurrence tab only shows job recurrences with bookings in the future. Past job recurrences will not show in that tab once all bookings are completed and in the past.

Top Tips

  • If you find that the recurrence tab is not displaying for you, make sure you've got the 4 required fields filled in: client, job title, job address, 1 or more booking(s)

  • It is not possible to create recurring jobs in the past, only in the future

  • Any changes you make to job templates will only affect jobs in the future

  • The dates or days of the week you set for the Visit in the Job Template don't affect what dates the recurring Jobs occur on. The Recurrence Pattern determines what date and day of the week Visits within recurring Jobs occur. The time on a Visit in the Job Templates, however, is used for the recurring Jobs.

  • However, if there is more than one Visit, then the dates set on the Visits impact the recurring Jobs, i.e., if a Job Template has 2 Visits that are 3 days apart, and you select the recurrence pattern to create Jobs for a Monday, then the Jobs will be created with one Visit on a Monday, and another Visit 3 days after on Thursday, both under a single Job.

Modifying Recurring Jobs

The details on your Job Templates may change. For example, the client could move to a new apartment, so that the job location changes. The client might want to extend the contract, so that the End Date changes. The client might want more sessions because your service is amazing, so that the Recurrence Pattern changes from fortnightly to weekly.

If this is the case you can make modifications to your existing Job Templates. Any changes you make will only affect jobs in the future. Once you have made your changes to the template, make sure to click 'Create Jobs' which will re-generate all future jobs on that template.

Note: As this causes a re-generation of jobs, any custom details you may have added to future jobs that were already generated will be overridden.

Recurring Job Generation Settings

Once you have set up a Job Template in GeoOp and set a recurrence, by default GeoOp will generate the recurring instances of the job 30 days out. This means that you will only see recurrent jobs created when the booking date is within 30 days of the current date. This is to ensure that your jobs list does not get flooded with 100's of recurring jobs that may go on for an infinite amount of time.

If, for example, you have a recurring job that only recurs once per year, you may want to see a few recurrences which would be occurring more than the default 30 days from the current date. You can do so by setting your own default range for recurrence generation. To do this go to the settings are and click on the extra features tab. Within this tab you will see a setting for "Recurrence Limit (days)". If you wanted to see the next 3 years of Jobs (1 per year) you could set the recurrence limit to e.g. 1000 days.
