How-to Video: Customizing Firm Branding

Updated over a week ago

How Do I Customize Client Portal Branding?

Custom Branding allows you to personalize the Client Portal experience with your firm’s domain, logo, colors, links, and messaging.

Required Plan, License, and Permissions:

  • Access to Settings

  • Permission to manage firm branding

Custom branding ensures your Client Portal reflects your firm—not Canopy. This creates a seamless, professional experience for clients when they log in, upload documents, or sign files.

Table of Contents

Access Custom Branding Settings

  1. Click your initials or profile picture in the top corner.

  2. Select Settings.

  3. Click Custom Branding.

All portal branding controls are managed from this page.

Customize Your Client Portal Domain

You can create a white-labeled domain for your Client Portal (e.g., yourfirm.clientportal.com). This removes Canopy branding and reinforces your firm’s identity.

A default portal URL is also available:

To set a custom domain:

  1. Navigate to Settings > Custom Branding.

  2. Enter your preferred domain.

  3. Confirm availability (a green checkmark will appear if available).

  4. Save your changes.

If you change your domain:

  • Clients will be redirected from the previous domain to the new one for 3 days.

  • You cannot edit the domain again during that 3-day window.

Best Practice: Add your portal link to your firm’s website for a seamless client experience.

Add Custom Links

You can add links that appear directly inside the Client Portal.

Available options include:

  • Company website URL

  • Appointment scheduler (e.g., Calendly)

  • Additional firm links

To enable custom links:

  1. Enter the desired URL in the appropriate field.

  2. Toggle the link On (green) so it displays in the portal.

  3. Save your changes.

These links help guide clients to scheduling tools, resources, or your main website without leaving the portal environment.

Embedding the Portal on Your Website

You can embed a login button on your firm’s website by linking to:

  • Your custom domain, or

  • The default portal URL

Clients can log in using their existing credentials—no new invitation required unless their previous invite expired.

Update Logos and Colors

Your logo and brand color appear in:

  • The Client Portal login page

  • Inside the Client Portal

  • Emails sent from Canopy

  • Invoices

To upload a logo:

  1. Click Upload Image.

  2. Select a file from your computer.

  3. Save your changes.

Logo requirements:

  • File types: .jpg, .jpeg, .png

  • Maximum file size: 500 KB

To update brand colors:

  1. Choose a color from the palette
    or

  2. Enter a custom color code.

  3. Save your changes.

Consistent branding across portal access, emails, and invoices reinforces professionalism and trust.

Customize the Welcome Message

You can personalize the message clients see when they log in to the Client Portal.

  1. Navigate to the Welcome Message section.

  2. Enter your custom text.

  3. Save your changes.

This space can be used to:

  • Provide onboarding instructions

  • Share high-level guidance

  • Introduce your firm

  • Set expectations for document exchange

Best Practice: Include a brief description of your firm so clients know they’ve reached the correct portal.

You can preview updates to:

  • The login screen

  • The Client Portal interface

  • Email templates

Troubleshooting

Clients cannot access the portal

  • Confirm their email address is correctly associated and active.

  • Verify they are using the correct URL (default or custom domain).

  • Resend the portal invitation if the previous invite expired.

Domain cannot be edited

  • If recently changed, wait until the 3-day redirect window has passed.

Logo will not upload

  • Confirm file type is .jpg, .jpeg, or .png.

  • Ensure file size does not exceed 500 KB.

Summary

Custom Branding allows you to fully align the Client Portal with your firm’s identity.

  • Set a white-labeled domain.

  • Add helpful portal links.

  • Upload your logo and brand colors.

  • Personalize the welcome message.

A cohesive portal experience builds trust and keeps your firm front and center.
