Create a Task Template

  1. Click Templates in the primary navigation.

  2. Click Task in the Templates menu.

    • You’ll see: your templates, Canopy pre-made templates, and a workflow preview on the right.

  3. Create a template:

    • Create new: click Create New.

    • Duplicate existing: select a template → click Duplicate → name it → set privacy → Copy.

  4. In the parent (main) task pane, add details:

    • Task name, Roles/Assignees, Budgeted hours, Return type, Description.

    • Dates: add Fixed or Relative dates (you can create Custom date types).

    • Tools: File or Reminder.

    • Recurring: toggle on if this template should create repeating tasks.

Enhanced Scheduling (Beta)

We’ve released new, more flexible recurrence settings in beta.

  • To enable: Go to Settings > Experimental Features and toggle on Recurring Task Schedule Beta.

  • Once enabled, you’ll see additional options for monthly, quarterly, and annual recurrences, with more granular due-date and creation rules.

Add Automation

Automations change status, notify teammates, send client emails, and more.

  1. Click Add an automation.

  2. Choose a condition (e.g., When task reaches a date… / When status changes…).

  3. Choose an action (e.g., Set task status… / Send client email).

  4. Complete required fields → Add automation.

Automations saved in the template apply to every task created from it.


Add Subtasks

Break larger work into smaller steps.

  1. Click Add ▸ Add subtask beneath the parent task.

  2. Fill in subtask fields (name, roles/assignees, dates, checklist, files, reminders, automations).

  3. Example staging: Upload Transactions, Reconcile Bank Accounts, Flux Analysis & Statements, Balance Sheet Tie-Out, Deliver Financial Packet.


Add Client Requests

Collect documents/info from clients via the Client Portal.

  1. Click Add ▸ Add client request.

  2. Add Request name, client-facing description, client due date, client reminder, files, and any automations.

  3. (Optional) Apply Template to prefill from a saved client request template.


Reorder Workflow Items

Drag and drop subtasks and client requests in the workflow preview to adjust sequence (e.g., move a client request earlier to collect transactions before upload).


Save & Share the Template

  1. Click Save (or Save draft to finish later).

  2. Set Template privacy: On (shared with team) or Off (private).


Duplicate and Edit Preset Templates

Start from Canopy pre-made templates:

  1. Click the Duplicate icon on a pre-made template.

  2. Name the copy → choose whether to share with teamCopy.

  3. Click ⋮ ▸ Edit on your copy to modify order, content, dates, reminders, files, and automations.

Originals can’t be edited—duplicate first, then customize.


Apply a Task Template

  1. Click the Global +Create Task.

  2. Click Template, select your template, then Apply.

  3. The task inherits the name, subtasks/client requests, and date/automation rules you defined—review and create.
