File Migration With the Desktop Assistant

The File Migration tool, built into the Canopy Desktop Assistant, allows you to upload entire client folder structures from your PC into Canopy Files.

Upload Client Folders with File Migration

  1. Open the Desktop Assistant by clicking the Tray Icon in the Windows taskbar.

  2. Click the Settings icon in the Desktop Assistant.

  3. Select File Migration Tool from the dropdown menu.

  4. (First-time use) – Click through the Getting Started guide to review tutorial information.

  5. Add folders:

    • Drag and drop client folders into the File Migration tool, or

    • Click Browse to search for client folders in an upload menu.

    ⚠️ Note: Only folders can be migrated with this tool. Standalone files cannot be migrated.

  6. Assign folders to clients:

    • Click Assign next to a folder.

    • Enter a client name and select the existing client in Canopy.

    • Smart Matched folders will already have a client assigned, indicated by the SM icon.

    • To reassign, click the Assigned Client and choose another client.

  7. Manage folders before upload:

    • To delete a folder, click the Options menu next to the folder, then select Delete.

  8. Upload assigned folders:

    • Click Upload Assigned.

    • 🔑 Tip: Only assigned folders can be uploaded.

  9. Track progress:

    • Click the Uploads tab to view file upload status.


View and Filter Completed Uploads

  1. In the File Migration tool, click the Uploads tab.

  2. From the window selection dropdown, choose Completed.

  3. To sort completed uploads, open the Sort by dropdown.

  4. Select from the available options:

    • Last uploaded

    • A–Z

    • Z–A


Enable Smart Match

The Smart Match feature automatically links folder names to existing clients in Canopy, reducing manual assignments.

  1. Open the File Migration tool in the Desktop Assistant.

  2. Click the Options menu.

  3. Select Enable Smart Match.

    • If Smart Match is already enabled, you will see the option to Disable Smart Match.


Troubleshooting

  • Folders aren’t uploading

    • Verify that each folder is assigned to a client before clicking Upload Assigned.

    • Confirm your internet connection is active.

  • Smart Match not working

    • Ensure folder names closely match client names in Canopy.

    • If misassigned, manually reassign the folder to the correct client.

  • Standalone files missing

    • The tool only migrates folders. Upload individual files directly to Canopy through the Files module.
