How to present the candidate to the customer or manually assigning shifts in Globus

Presenting the candidate to customer

As soon as a candidate has accepted some shifts, the person can be presented to the customer for approval or manually approved by you. To present the candidate, make sure to move to the "Candidate" tab on the order.

Here you will see all candidates that have accepted one or more shifts or weeks. To present one or more candidates to the customer, click the "Send to customer" button in the top right corner. Then you will be presented with the option to select one or more candidates and also select the individual shifts you would like to present for each candidate. At this point, the system will check if any of the candidates have conflicts with other orders. This could happen if the candidates have been presented in a different order or assigned shifts with overlapping dates and times. If there is a conflict make sure to check the Candidate-page for the candidate to review any conflicts.

Click "next" and add the email address of the customer to present the candidate.

The customer receives the email with a clickable link. Opening the link, the customer will see the details of the order, the name of the submitted candidate and all shifts the candidate is available to work. If the customer is interested in booking the candidate, they can click the preferred shifts manually, click «select all» or «Reject all».

If the customer approves the candidate, the status of the selected shifts will change to «Assigned» status on the candidates tab. The shifts confirmation email/sms is automatically sent to the assigned candidate.

Manually assigning shifts without sending to customer

If you want to manually assign the shifts for the candidate without presenting them to the customer, click on the three dots next to the candidate status. If you want to accept the shifts on behalf of the customer, click «Change Status».

After clicking "Change status" you have the option to either reject all the shifts for the candidate (informing them that they were not assigned to the shifts) or manually assigning the shifts to the candidate.

A new modal window will open, and all accepted shifts for the selected candidate will appear in a structured overview for you to choose all or individual shifts to assign manually. The same conflict check described above will run to verify if there are any overlapping shifts in other orders.

After selection of one or more shifts, click "Assign selected". You will then see the confirmation email that will be sent to the candidate and modify this if you choose. When you are happy with the email, click "Next" and then click the final "Confirm". After this the shifts will be assigned to the candidate and the confirmation will be sent on email/sms. You can now register the shifts to your ATS-system.
