Create an email campaign

Campaigns can be created in three different ways:

  1. From the candidates page, filter/search and select the candidates you would like to send the campaign to and click "Create campaign", this will take you straight to the campaign manager with the selected candidates as recipients of the campaign.

  2. From the orders page, filter/search and select the orders you want to include in the campaign and click "Send to candidates". The selected orders will be automatically added to the campaign under the opportunities section.

  3. Navigate to "Campaigns" in the left-hand menu and click "+ New campaign"

After creating the campaign from one of the options above, add a descriptive name to the campaign and choose the responsible user (the contact information of the user will be added to the email footer).

The campaign module supports both email and SMS campaigns. In the following section we will describe the functionality of the email campaign.

In the left-hand menu under Content settings you can choose the layout of the campaign including the following options:

  • Deactivate/activate the option to add a cover image to the email.

  • Deactivate/activate the option to include specific opportunities/orders in the campaign. The orders were either added during creation (option 2) or can be added directly from the campaign (described in a following section).

  • Deactivate/activate the action button (Call to action) to the campaign.

Under email content you will see the different modules visualized.

Customizing opportunities

If you havent already added some orders to the campaign, click "Add opportunities"

Use filters/search to find the orders that you would like to include, and add them to the campaign. The information of each included order to show in the email can be customized using the "Opportunities"-menu on the left-hand side.

Choose the options you would like to show in the email. If you want to change or add some information to the selected orders, click the pen, edit or add information, and click save. The order will be updated instantly.

Each included opportunity/order will be clickable in the email, taking the candidate to the specific order with the option to accept or decline the order.

Configuring the action button

There are multiple options on how to utilize the action button. The action button is a flexible call-to-action that provides you with the option to choose the button text, the button color and the text color. It also have three distinct behaviours for the candidate when clicked.

  • Success page - when the button is clicked, this option will take the candidate to a separate customizable success page. The success page can be customized.
The success page can be used in instances where you would like the candidate to click the button in the email when the information is read or if you send a softer campaign without any specific opportunities ("Please click the button below if you are interested in working for us in the summer"). The Page title and subtitle of the success page can be customized and previewed (described later in this documentation).

  • URL - when the button is clicked, this option will take the candidate to a separate URL. The URL option can be used to take the candidate to one of your websites, a form they need to fill or some other website. Add the specific URL under "Link URL" in the left-hand menu.

  • Opportunities page - when the button is clicked, this option will take the candidate to their candidate portal, showing all available published orders and the option to update their availability or provide preferences.

Writing the campaign subject and body text

After choosing the layout of the campaign and adding the opportunities to include, its time to add a subject, the body text, the styling and cover image. Before continuing, make sure to save the campaign as a draft.

Then start by clicking "Add picture" and choose an image to include.

Then add a subject. By using the "Enhance"-button it is possible to get some inspiration.

Then its time for the email body text, here it is super useful to use the "Enhance"-feature. Add a small description of what you would like the campaign to include.

Then click "Enhance" and use ex the "Friendly tone". This was the result:

You can edit the format by using the rich text option in the top of the email body window. You have the option to:

  • Change the text size (Heading)

  • Set text Bold or Italic

  • Add bullets or numbers

  • Add a URL in the text (highlight and click the link icon to add the URL)

  • Or add a personalization parameter (ex candidate first name)

The email also supports emojis that you can copy and add. Ex from https://getemoji.com/.

Previewing the campaign

After adding the information and opportunities you like to the campaign you can preview the email before sending. You can also preview the opportunities page. Click preview in the top of the email:

Scroll down to preview the included opportunities and the success page (if that has been chosen under the Action button menu).

"Click preview page" next to the Action button to preview the Success page.

Adding recipients and sending the campaign

After you are happy with the campaign, click save draft. Then to add the recipients (if you didn't create the campaign from the candidates page), click recipients in the top.

Then click "+ Add candidates", filter and select the candidates you would like to send the campaign to and click "+ Add to campaign".

If you are ready to send, click "Launch campaign"

Status of the campaign will change to "Launched"

You can also navigate back to the Campaigns overview to see it there.

If you want to reuse one of the campaigns that you already sent, click a campaign and then you get the option to duplicate it in the top right corner.

It will take some time until the statistics will update. This is described in the section 5.3.
