Gluu offers you the following ways of organising and finding your processes, procedures and work instructions:

  • Process hierarchy - to organise by business function or area.

  • Process collection - to group related processes in a diagram.

  • Add forms to activities - to show e.g. which systems, geographies or compliance areas that an activity is related to.

  • Set special activity types - to highlight the activity as a Control, Risk, System, Document or Customer TouchPoint.

  • or use labels to make special collections of processes, activities and comments - what this article is about.

Labels are useful for creating a special collection of information that span your process hierarchy and activity types. For instance, create labels such as GDPR, ISO 9001 or ISO 27001 to highlight all the information that supports your compliance in each area.

This way, you can quickly find the right information for training, auditing or management reporting.ย 

How it works

To get started with using labels in your Gluu account you first need to create a set of labels that your users can use. Process owners and editors can then apply the appropriate labels to their processes and activities. Every user can apply labels to comments. Users can then filter by label (or click a label) to show all the information associated with this.

Creating labels to use across the account

(To do this you need to be the Account Owner or Administrator.)

  1. Click on 'Labels' in the left menu

  2. Turn on the 'edit mode'

  3. Click the button 'New' to add a new label

  4. Edit label names and colors, then click save

Once you click "save" then the labels are immediately available for all users to use.

Now users can start adding labels to processes, work instructions and comments.

Labelling processes and activities

(To do this you need to have edit rights to the process or activity.)

  1. Go to the process or activity that you want to label.

  2. Turn on the edit mode.

  3. Click the label button to see the available labels.

  4. Select one or more labels.

  5. The process or activity is now labelled and will show up when you filter by this label or click to see the related information.

Note that you can also label comments.ย 

(This is available to all users that have access to the process.)

  1. Click a label to show a panel that contains all information with this label - processes, activities and comments.

  2. You can now click to go to the relevant item.

Tip! From the 'Processes' page, you can also filter by a label to show all processes that have been marked with the selected label(s).
