What is this integration?
The Range Manager integration connects Golfmanager with the external Range Manager system, which manages the ball dispensers at the driving range. It lets the customer buy and top up balls using a balance (a voucher linked to their record), and all those operations are recorded in Golfmanager as sales and top-ups.
Range Manager is the system that controls the ball machines. The ball balance is a customer voucher: it is recharged (adds balance) and consumed (when dispensing balls). Golfmanager keeps that balance and synchronizes it with Range Manager.
What problem does it solve?
Self-service balls: the customer dispenses and tops up without going to reception.
Prepaid with balance: the customer spends from their ball voucher.
Everything recorded: purchases, top-ups and payments stay in Golfmanager.
Balance always up to date between Golfmanager and Range Manager.
What operations does it allow?

Which systems does it connect and in which direction does the data flow?
It connects the Golfmanager POS with Range Manager, in both directions:
From the POS the Range Manager interface is opened (with a session identifier) and, when finished, it returns to Golfmanager.
Range Manager reports to Golfmanager each operation (purchase, top-up or payment) and Golfmanager records it and updates the balance.
Golfmanager returns the customer's balance when Range Manager queries it.
The ball balance (voucher)
The customer has a combined balance: if they have several Range Manager vouchers (of the "money"/wallet type), they all add up. To keep things in order:
Payments deduct from the oldest voucher first.
Top-ups are added to the most recent voucher.
This way the customer consumes first what they loaded first.
Prerequisites (before activating the integration)
Have the Range Manager system and its dispensers installed.
Have the Range Manager module installed, together with the POS module.
A Range Manager voucher type with an assigned product, and vouchers created for the customers.
The Range Manager API credentials (Site, Vendor and password).
Administration permissions to configure.
How to set it up (step by step)
Step 1 — Credentials
Log in to Golfmanager with an administrator user.
Go to Range Manager > Settings.
Enter the Site, the Vendor and the password (provided by Range Manager).
Save the changes. (The password is stored encrypted.)
Step 2 — Voucher type and customer vouchers
Create a voucher type marked as "Range Manager" and assign it a product (the one for top-ups).
Create vouchers of that type for the customers who are going to use the machines.
Save the changes.
Step 3 — Products (optional)
Go to the record of the ball products.
Fill in the Range Manager product ID so that sales use the correct product.
Save the changes. (If you don't, the product is created automatically from the transaction data.)
🔒 The Range Manager password is stored encrypted and the connection uses a token that renews itself. You don't need to manage it manually.
Explanation of each field
Below is a description of each field in the integration: where it is, what it means, its impact on the system, and a usage example (what happens when it is used and how the system behaves).
A) Credentials (Range Manager > Settings)
1. Site
Description: the identifier of your installation in Range Manager.
Impact on the system: it is mandatory. It identifies which Range Manager account it connects to and which interface opens from the POS.
Usage example: you enter the Site that Range Manager provides.
What happens when it is used: the POS opens your Range Manager interface correctly.
System behavior: if it is missing, "Range Manager site not configured" appears and it does not connect.
2. Vendor
Description: the operator/club identifier used to authenticate with Range Manager.
Impact on the system: it is mandatory. It is part of the connection credentials.
Usage example: you enter the Vendor that Range Manager provides.
What happens when it is used: it is used together with the Site and the password to obtain access.
System behavior: if it is missing, "Range Manager vendor not configured" appears and it does not connect.
3. Password
Description: the Range Manager API password.
Impact on the system: it is mandatory. It is stored encrypted and used to authenticate.
Usage example: you enter the password that Range Manager provides.
What happens when it is used: the connection obtains a token that renews itself.
System behavior: if it is missing or incorrect, "Range Manager password not configured" or an authentication failure appears, and it does not connect.
B) "Range Manager" voucher type
Field name: the "Range Manager" mark on the voucher type, with its associated product.
Description: it indicates that this voucher type is the ball wallet, and the product is the one used when topping up balance.
Impact on the system: essential. Only vouchers of types marked as "Range Manager" (and of the money type) count for the balance and the payments.
Usage example: you create a "Range Manager Balance" voucher type marked as Range Manager and with its product, and give vouchers to the customers.
What happens when it is used: the balance of those vouchers is used to pay for balls and increases when topping up.
System behavior: if the customer has no voucher of this type, topping up shows "No Range Manager voucher found for customer".
C) Range Manager product ID (on the product)
Field name: Range Manager product ID (on the product record).
Description: the identifier that links a Golfmanager product to the Range Manager one.
Impact on the system: it is optional. It makes sales use your product instead of one created on the fly.
Usage example: on your "30 balls" product you enter its Range Manager ID.
What happens when it is used: the sales of those balls come out with your product.
System behavior: if you don't fill it in, Golfmanager creates the product automatically with the transaction data (name and amount).
How to use it day to day
From the POS, click the Range Manager button; Range Manager opens with the customer identified.
The customer chooses balls and pays: with their balance (voucher), with direct payment (card) or by passing the balls to the POS cart to charge them there.
They can also top up balance.
Golfmanager records each operation (sale, payment or top-up) and updates the balance.
ℹ️ Cancellations: if you cancel a ball sale that had already been passed to Range Manager, the system checks the status in Range Manager. If the balls have not yet been used, it is cancelled; if they have already been claimed/used, the cancellation is blocked.
Logs, vouchers and tokens
In the Range Manager menu you have three review screens:
Logs: the history of all operations received (balance query, cart, pay with balance, top-up and direct payment), with their detail and result (successful or error). It is the first screen to review for any issue.
Vouchers: the link between the ball sales and the corresponding Range Manager voucher (used for cancellation control).
Tokens: the connection token, which renews itself; you don't have to manage it by hand.
Limitations to keep in mind
The balance is combined (the sum of the customer's Range Manager vouchers); it is consumed from the oldest and recharged into the most recent.
Only money-type vouchers marked as Range Manager count.
Paying with balance needs sufficient balance in the customer's vouchers.
To top up, the customer must already have a voucher of Range Manager.
You cannot cancel a sale whose balls have already been used in Range Manager.
It requires the correct credentials (Site, Vendor, password).
It depends on the Range Manager system and its connection.
Frequently asked questions
It does not connect with Range Manager.
It is usually due to incorrect or incomplete credentials. Check the Site, the Vendor and the password in Range Manager > Settings; if any is missing, messages like "Range Manager site/vendor/password not configured" appear, and if they are incorrect, an authentication failure.
Paying with balance is rejected.
The customer does not have enough balance in their Range Manager vouchers; "Insufficient voucher balance" appears (with the available and the required amount). The customer must top up their voucher before paying with balance.
I cannot cancel a ball sale.
If the balls have already been claimed or used in Range Manager, the cancellation is blocked (a message like "cannot cancel: the Range Manager voucher has already been used"). Only balls that have not yet been dispensed can be cancelled.
The sale's product is not the one I expected.
It is because that product is not mapped with Range Manager. Fill in the "Range Manager product ID" on the product record. If you don't, Golfmanager creates a product automatically with the transaction data.
When topping up it tells me there is no voucher.
"No Range Manager voucher found for the customer" appears. Top-ups add balance to an existing voucher, so the customer must have at least one Range Manager voucher. Create one and try again.
What is the "combined balance"?
If a customer has several Range Manager vouchers, their balance is the sum of them all. When paying, it deducts from the oldest voucher first; when topping up, it adds to the most recent. This way they consume first what they loaded first.
Do all vouchers count toward the balance?
Only money-type (wallet) vouchers marked as Range Manager. Other voucher types are not taken into account for the balance or the payments.
What is "Add to cart"?
It is the option that passes the balls chosen in Range Manager to the POS cart as a pending sale, to charge them at the desk with any method (not necessarily with the balance).
What is "direct payment"?
It is a charge that does not use the customer's balance (for example, paying by card at the machine). It is recorded in Golfmanager with Range Manager's own payment method.
How is the customer identified?
Range Manager opens from the POS with the customer already identified in Golfmanager; the purchases, top-ups and their balance are associated with that customer.
Where do I review what has happened?
In Range Manager > Logs are all the operations with their result and detail. You also have the Vouchers (sale–voucher link) and Tokens (connection) screens.
Do I have to manage the connection token?
No. The token is obtained and renewed automatically; you don't have to touch it. The Tokens screen is informational only.
Is the Range Manager password secure?
Yes. It is stored encrypted in Golfmanager and used only to authenticate with the Range Manager API.
Does it need an internet connection?
Yes. The integration queries and reports to Range Manager in real time; if the service is unavailable, sessions cannot be opened nor operations recorded at that moment.
Recommended best practices
Create the Range Manager voucher type with its product before starting, and vouchers for the customers.
Map your products with Range Manager so sales use the correct product.
Review the Logs for any issue.
Inform the customers on how to top up and consume their ball balance.
