What is this integration?

The Zebra RFID integration lets you print labels with an RFID chip on Zebra printers and, afterwards, scan the products with RFID readers to do the inventory and stock control quickly. Each label carries, at the same time, a visible barcode and an RFID chip with a unique code.

RFID is a technology that identifies products by radio frequency: a small chip in the label is read at a distance, without having to aim at the barcode. Each chip carries a unique EPC code (24 characters) that identifies that item unambiguously.

What problem does it solve?

  • Much faster inventory: several products are scanned at once with the RFID reader.

  • Each item identified uniquely (EPC code).

  • Fewer errors in stock control.

  • POS-compatible: on scanning, the system converts the RFID chip into the product's barcode.

How does it work?

  1. From a purchase order (stock), you print the RFID labels on the Zebra printer.

  2. Each item gets its label with barcode + RFID chip (a unique EPC code). Each label is recorded in Golfmanager, linked to the product and the order.

  3. With the RFID reader, you scan the products (several at once).

  4. The system converts each chip into its barcode and enters it into the POS/inventory as if you had scanned it.

Which systems does it connect?

It connects Golfmanager with the labeling and inventory hardware:

  • Zebra RFID printer: by network (its IP address and port) or by USB (via CUPS), to print the labels.

  • RFID reader: usually an Android device with a Zebra reader, to scan the labeled products.

Prerequisites (before activating the integration)

  1. An RFID-compatible Zebra printer and labels with an RFID chip.

  2. An RFID reader (usually an Android device with a Zebra reader) for scanning.

  3. Have the Zebra RFID module installed, together with the stock module.

  4. The printer connected to the club's network or by USB.

  5. The products with their barcode set up (it is mandatory to print).

  6. Stock management permissions to configure and use.

How to set it up (step by step)

  1. Go to Settings > Stock > Zebra RFID.

  2. Choose the printer connection type:

    • By network: enter the printer URL/IP and the port (by default, 9100).

    • By USB: leave the IP blank and indicate the CUPS printer name.

  3. Indicate the label width and height in millimeters (by default, 50 × 25 mm).

  4. Save the changes.

⚠️ Adjust the width and height to the material you actually use and check that the printer is reachable (on the same network, or connected by USB) before printing.

Explanation of each field

Below is a description of each field in the integration: where it is, what it means, its impact on the system, and a usage example (what happens when it is used and how the system behaves).

A) Settings (Settings > Stock > Zebra RFID)

1. Printer URL/IP (network) and 2. Port (network)

  • Description: the network address of the Zebra printer and its print port (9100 by default).

  • Impact on the system: it is where the labels are sent if you print by network.

  • Usage example: you put the printer's IP (for example, 192.168.1.100) and port 9100.

    • What happens when it is used: Golfmanager sends the labels to that printer.

    • System behavior: if the IP is blank, USB printing (CUPS) is used; if neither is configured, "Configure the printer in Settings > Stock > Zebra RFID" appears.

3. CUPS printer name (USB)

  • Description: the name of the printer in the print system (CUPS) for USB connection.

  • Impact on the system: it allows printing by USB when the network is not used.

  • Usage example: you indicate the name that appears in the computer's print system.

    • What happens when it is used: the labels come out from that USB printer.

    • System behavior: if the server does not have CUPS, it warns you to use network printing.

4. Label width (mm) and 5. Label height (mm)

  • Description: the label size in millimeters (by default, 50 × 25).

  • Impact on the system: it defines how the label is laid out to fit the material.

  • Usage example: you adjust the width and height to the size of your labels.

    • What happens when it is used: the label is printed with those dimensions.

    • System behavior: if they do not match the material, the label may come out cut off or misaligned.

B) On the RFID tag (tag register)

Each printed label is recorded with this data:

  • EPC: the chip's unique code (24 characters). Behavior: it is unique; it cannot be repeated (if attempted, "EPC already exists" appears).

  • Product, Purchase order and Order line: which product and which order the label belongs to.

  • Barcode and Product name: inherited from the product, to identify it easily.

  • Status: the label's lifecycle: Active, Sold, Returned or Lost. Behavior: it is born as "Active" and changes to "Sold" when the item is sold.

  • Sale: the associated sale when the item is sold (if applicable).

How to use it day to day

Print RFID labels

  1. Open a purchase order (for example, a goods reception) and save it.

  2. Click "Print RFID labels".

  3. The Zebra printer generates the labels with barcode + RFID chip (a unique EPC per unit), and each label is recorded.

  4. Place each label on its product. You will see a message with the number of labels printed.

Scan products

With the RFID reader (Android device), scan the labeled products (you can read several at once). The system identifies each chip, converts it into its barcode and enters it into the POS/inventory as if you had scanned it, showing a notice with the product.

Look up a label

In the "RFID Scanner" view you can type or scan an EPC to see which product it corresponds to, its barcode, its price and its status (Active, Sold, Returned or Lost).

Limitations to keep in mind

  • It requires specific hardware: a Zebra printer with RFID, labels with a chip and an RFID reader.

  • The printer must be reachable (on the network or by USB).

  • The product must have a barcode in order to print its label.

  • The label width and height must match the material you use.

  • Labels are printed from a purchase order; it is an inventory tool, not a checkout one.

  • The reader usually requires an Android device with the corresponding app.

Frequently asked questions

It does not print.

Almost always the printer is not reachable or is misconfigured. Review the IP and the port (network printing) or the CUPS printer name (USB). If none is configured, "Configure the printer in Settings > Stock > Zebra RFID" appears.

When printing by USB it says CUPS is not installed.

The server does not have the CUPS print system. Use network printing (configure the printer's IP) instead.

"The following products have no barcode" appears.

Labels cannot be printed for products without a barcode. Set up the barcode of those products and try again.

"Save the order first" or "There are no products in this order" appears.

Labels are printed from a saved purchase order with products. Save the order and add its lines before printing.

The label comes out cut off or misaligned.

The label size does not match the material. Adjust the width and the height (mm) in the settings.

"EPC already exists" or "Invalid EPC format" appears.

The EPC must be unique and exactly 24 characters. If a label was already registered, it is not created again; reprint with a new label.

The reader does not recognize a product / says "unregistered tag".

That chip is not registered (the label was not printed from Golfmanager or it is damaged). Reprint the product's label from its purchase order.

Can I look up which product a label belongs to?

Yes. In the "RFID Scanner" view, type or scan the EPC and you will see the product, the barcode, the price and the label's status.

What do the label statuses mean?

Active (just printed and in stock), Sold (the item has been sold), Returned (it has come back to stock) and Lost. They serve to track the lifecycle of each labeled item.

Do the labels identify members or serve for access control?

No. This integration is for labeling products (inventory and stock), not for identifying people or for access control. Each label is linked to a product, not to a customer.

Can I scan several products at once?

Yes. The RFID reader reads several chips at once; the system processes them together and tells you how many it has recognized.

Recommended best practices

  • Configure the printer connection well (network or USB) and the label width/height.

  • Make sure the products have a barcode before printing.

  • Print the labels when receiving the goods and place them right away.

  • Do a print and scan test before a large inventory.

  • Keep the reader charged and handy for the counts.
