Getting Started with the Guest Roster

When using Golf Genius - Golf Shop, it is important to maintain an accurate and up-to-date member roster, and it can also be just as beneficial to maintain a guest roster.

The guest roster contains some standard fields (last name, first name, email, cell phone) that can be utilized when entering new special orders, repairs, demos, and rental orders when selecting guests. The guest roster can also be populated with new profiles when creating special orders, repairs, demos, and rental orders when selecting guests.

In this article, we will discuss viewing the guest roster and managing guests on the roster.

Viewing the Guest Roster:

You can view your guest roster by going to Club Details > Guests (as shown below).

Managing Guest Roster:

You can add or remove fields (columns) that are displayed in the Guest Roster by clicking on the "Fields" button (as shown below). You can pick which fields are displayed and change the order in which they are displayed in the list.

When clicking on the "Actions" dropdown (as shown below), you can select from the following options:

  • Edit: Edit the guest profile information (discussed later in this article).

  • Delivery Reports: View their Email Delivery Reports.

  • Delete: Delete the guest from your roster.

Guest Roster Search:

The Guest Search function allows you to search for specific guests by entering their name or email (as shown below).

Editing Guest Information:

There may be cases where you need to change or add guest information on your guest roster. For instance, an email address or cell phone number may need to be entered or changed. Note: Guest profiles can only be changed from the Guest Roster.

To make changes directly to the guest roster, follow these instructions:

  1. Go to Club Details > Guest.

  2. Click the "Actions" dropdown and select "Edit."

  3. Add/Change the necessary information.

  4. Click "Save."

Adding New Guest:

Over time, you may want to add new guests to the roster. You can do this in the following locations:

  • Guest Roster

  • When creating a new order for special orders, repairs, demos, and rentals

Adding Guest via the Guest Roster:

If you want to add a guest via the guest roster, follow the instructions below:

  1. Go to Club Details > Guests > New Guest.

  2. Enter the guest information (as shown below).

  3. Click "Save."

  4. Repeat steps 1 through 3 for any remaining guest you'd like to add individually.

Resubscribing Members to Email:

If a guest has unsubscribed from emails, you can send them a message when editing the guest profile so they can resubscribe. To send a message to a guest to resubscribe to emails, follow these directions:

  1. Go to Club Details > Guests.

  2. Use the action dropdown to click "Edit" for the guest you wish to get resubscribed.

  3. In the primary details area, click "Send a Resubscribe Email" (as shown below).

  4. The guest will receive an email with a link to resubscribe to emails. Once they click the "Resubscribe" button in the email, they will continue to receive emails.

Guest Best Practices:

When adding guests, remember that:

  • Some fields are optional. For instance, you do not need to enter a cell phone.

  • If you'd like the guest to receive email and text notifications, they must have their email and cell phone in the roster.
