AI Note Writing Assistant

The AI Writing Assistant helps you create and improve your notes. You can ask the AI to draft new content or improve existing content by shortening, rephrasing, or expanding it.

The AI Writing Assistant is available in the following supported note and text editors:

  • Customer Top Note

  • Customer Notes

  • Job Notes

  • Workorder Notes

  • Invoice Terms

  • Invoice Notes

  • Estimate Terms

  • Estimate Notes

To get started, open the note you want to create or edit.

  1. Click (AI ✨) in the text formatting toolbar to open the AI Assistant Chat.

2. The AI Assistant opens in a chat panel where you can communicate with the AI. Within this panel, you will find the following:

  • Conversation: View your conversation with the AI, including its drafted responses.

  • Text Input: Type the note you want to add or provide instructions for the AI.

  • Voice Input: Use your device's microphone to dictate instructions using speech-to-text.

  • Send: Submit your request to the AI.

  • Resize: Drag the edge of the panel to adjust its width.

  • Close: Close the AI Assistant panel.

When the panel is open, the button label changes to Editing… indicating that the AI is active.

3. AI-generated notes can be reviewed before they are added to the note editor. You can select the following options:

  • Copy: Use Copy to copy the AI-generated response.

  • Share: Share the AI-generated response with other platforms in text format.

  • Text-to-Speech: Use the Text-to-Speech button to have the AI read its response aloud.

  • Push to Note: Use Push to Note when you are happy with the AI-generated response and want to add it to your notes.

    • If there is no existing note, you will only see the Push button.

      • Pushed — The AI-generated response is added as a new note.

    • If an existing note is present, you will see two options:

      • Replace — Replaces the entire existing note with the AI-generated response.

      • Insert — Adds the AI-generated response below the existing note without removing the original content.

After the response is added to your note, the button becomes disabled and its label changes based on the action performed: Pushed, Replaced or Inserted

Working With Existing Notes

The AI can work with the content already in the editor. You can ask it to:

  • Rephrase the note

  • Shorten the note

  • Expand the note

  • Improve the structure or readability

  • Create a new version of the note

The AI should improve the information provided in the existing note without adding unrelated or unprovided information.

Invoice & Estimate — Notes & Terms

Because the Notes and Terms for Invoices and Estimates can be edited separately, the AI Assistant includes separate tabs for them.

The tabs indicate which section the AI is currently helping you edit.

If only one section is being edited, the other tab is disabled. Both tabs become available when the user is actively editing both Notes and Terms.


Additional Text Formatting

We have introduced H1 and H2 text formatting options to help improve the readability and organization of your notes.

  • Heading 1 (H1) - Use H1 for main sections or important information.

    • Larger than normal body texts

    • Bold by default

    • Best used for main section titles

  • Heading 2 (H2) - Use H2 for subsections or other important information.

    • Larger than normal body texts

    • Smaller than H1

    • Bold by default

    • Best used for subsections within an H1 section
