Reports Accounts Aging

Written by Catherine

Accounts Aging shows a report of your customers’ outstanding receivables for a selected period. It organizes unpaid amounts by how long they have been outstanding, helping you track overdue balances and identify customers with outstanding payments.

How to Access Accounts Aging

  1. From the main navigation menu, go to Reports.

  2. Select Accounts Aging to open the report.

From here, you will see a list of all customers with outstanding balances divided into 4 periods:

  • 0-30 Days

  • 31-60 Days

  • 61-90 Days

  • 90+ Days

Within the page, you’ll see the customer’s Account Number, Account Name, Phone Number, Billing Email, Credit Card(s), Balance, and Available Credit.

Click a customer’s balance under a specific aging period to view the open invoices that make up that amount. You can also click an invoice number to open and view the invoice details.

To view your customers’ balances for different dates throughout the year, select the desired date using the Period Ending button.

Viewing has two modes: Current and Point In Time

  1. Current - Shows exactly who owes you money right now.
The Period Ending date determines which unpaid invoices are included — only invoices unpaid as of that date are shown.

  2. Point In Time - Shows who owed you money on a specific date in the past.
Select a Period Ending date to see the aging balances as they were during that period, including amounts that were paid after the selected date.

Detailed Example:

Current Aging

Invoice 0001

  • Invoice date: September 1

  • Paid: September 10

  • Report ending: September 2

Because the invoice is already paid today, it will NOT show on the Current Aging report.

Current Aging = What is unpaid right now.

Point-in-Time (PIT) Aging

Invoice 0001

  • Invoice date: September 1

  • Paid: September 10

  • Report ending: September 2

On September 2, the invoice had not been paid yet, so it WILL show on the Point-in-Time Aging report.

Point-in-Time Aging = What was unpaid as of a specific date.
