Late Payment Reminders

Late payment reminders will allow you to collect on past invoices automatically. You can activate up to 6 reminders based on the day range you specify.

With Stripe credit card processing integrated with GorillaDesk, you can include an online payment link with the outgoing automated reminders. This payment link is accessible through the Insert Email Variable selector.

Appointment Confirmations

Appointment confirmations provide an easy automated method of confirming upcoming services with your customers.

The automated confirmations are driven by unconfirmed jobs scheduled on your calendar. They will automatically go out based on the frequency specified before the unconfirmed job.

Your customers will have the ability to confirm that time/date by simply clicking the link in that email. Once an appointment has been confirmed by your customer, its status will automatically change to confirmed on your calendar.

You can create up to 3 different templates, all assigned to different services with different frequencies.

NOTE: You will need to check the box next to 'Enable' for each template AND apply it to specific services or your confirmations will not be sent out.

Manually send confirmations

You also have the ability to batch send your appointment confirmations manually from your calendar.

NOTE:

  • If the confirmation template is assigned to a specific service type, it will only allow you to manually send confirmations to those services.

  • If the template is NOT assigned to any service type, it will allow you to manually send confirmations to any service.

Appointment Reminders

Appointment reminders allow you to send an email and/or SMS message to customers to remind them of a currently confirmed status job. This reduces the number of no shows.

The email and SMS are completely customizable for your own business process. You can decide to include a timestamp or not.

Tips & Tricks

  • Excluding a timestamp, variable will just show the customer the day of service instead of an exact time.

  • To create more friction in the rescheduling process, exclude the reschedule button from your email and request the customer to call you to reschedule.

  • The most commonly used reminder frequency is set at one day before the appointment date.

  • Reminders can be sent manually from the calendar if you do not want GorillaDesk to automatically batch them out. (When sending reminders manually the system uses template Reminder #1)

  • A history of all sent email reminders is available under Reports / System email history.

Appointment follow-ups allow you to send an email and/or SMS message to customers after a completed status job. This allows you to communicate any custom message of your choice after the job.

The email and SMS are completely customizable for your business process.

Tips & Tricks

  • You can embed links here for customers to review your business at your review site of choice.

  • You can inform/remind customers of what they should be doing after the job has been rendered.
