What is a Work Order?

A work order is automatically generated once a job is created on the calendar, you do not need to create them.

They look similar to an invoice, but without any price associated with the items or services.

If an invoice is attached to the job, the work order will copy the information on the invoice, without the price. However, if there is not an invoice attached to the job, the work order will show the service type rather than the line item.


You can access the Work Order from the side menu by selecting the 'Work Order' tab when you open a job

You're able to:

  • View Work Order PDF

  • Print Work Order

  • Send by email

  • Send by SMS (if SMS is enabled)

  • Send by Email & SMS (if SMS is enabled)

  • Add work order not (visible to client). Click the 3 dots and select edit

  • Add image (visible to client) using the following option

    • Drag and drop the image

    • Click the 3 dots and select upload images

    • Click the 3 dots and select 'Insert from Existing job'

  • Add Client and Tech Signature

Note: Work Orders can only be sent by SMS from the desktop version of GorillaDesk. not from the mobile app.

Work Order Email & SMS templates

You can customize your outgoing email and SMS work order templates under Settings > Email & SMS > Work Order.

The Email & SMS variables will automatically pull data into your messages. For example, [::client_first_name::] will autofill with the customer's name and [::company_name::] will automatically add your company name into your message.

Click Insert Email Variable or Insert SMS Variable to add in different variables and personalize your message even further.

Work Orders on the Mobile App

To access these options on the mobile app, open a job, and select the 3 dots to the right of the customer's name.

If you choose to call your Work Order something else such as 'Service Ticket' or 'Door Hanger', you can update the Work Order title under Settings > Templates.

When viewing your Work Order PDF, it would appear like this:
