Job Todo Lists

GorillaDesk's Todo List feature will allow you or your technician to keep up with all the tasks that need to be performed on a job.


Note: This feature is available in the Mobile app and in Desktop Version 3.


To access Version 3, click on the toggle beside your avatar in the upper right corner and click the Switch to V3. You can switch back to the classic using the same steps at any time.

You can manage your to-do list template under settings and load it easily to your job

or add todo items directly inside the job and save them as a template later.

To create your To-do templates:

  1. Settings > Notes and Todo List > Todo List > and click the + Add new button


  2. Enter the template title and click + New Todo


  3. Enter the first to do and click save. Click + New Todo to add more items


  4. Make sure to save the template once you are done with the list.


  5. You can edit and delete the todo using the pen and trash icon. You can delete the whole template by clicking the trash icon beside the template name.
    Be careful! This cannot be reversed.


Now you are ready to use these templates on your service templates or on your jobs.

To add todo lists on your jobs:

  1. Open your job and click the Todo List button

  2. Add your first todo and click save

  3. Click on the + sign to add more todo items

  4. You can also click on the 3 dots to load a template if you have any

  5. Once you are done with this list, you can save this list as a new template

  6. You can also click Manage template from this page and it will direct you to Settings > Template manager

  7. You can also set this todo list to reoccur if the job is recurring.
    Please note that this needs to be turned on and the todos are added before completing the job.

  8. You can edit or delete each item by clicking the pen and the trash button

  9. Rearrange your to do by using this button, drag and drop to move up and down


Now your job todo list is ready! Your technician can start completing them when the service is performed.

Once the todo is completed. It will display the user who completed the todo.

Please note there are no user logs for adding, editing and deleting todos or todo lists.

You can add a todo list to your service template and apply this to all your active jobs.

  1. Go to Settings > Services > Open a service template and add your todo list.

  2. You can also instantly apply this todo list to all your active jobs for that service by clicking the "Update todo list for all active jobs" button.

    Please note that this is an override, meaning all active jobs under that service will be replaced with this list. This will remove completed items and the whole list will be replaced. This action is not reversible. This button does not affect completed and canceled jobs.

The superadmin has the option to set permissions for other admin users.


Go to Settings > Users > Permissions and turn off Manage Todo Templates
This will remove the option to add, edit, or delete templates.
They can still use and preload the available templates created by the other admins.
