There are 6 possible job statuses in GorillaDesk.
Unconfirmed
Confirmed
Reschedule
Complete
Canceled
Terminate Service
✨ In addition to the default job statuses, you can create custom statuses when you upgrade to Growth Plan. Check out the 'Custom Job Status' article here>>>
There are 2 additional status types which are controlled by the system itself.
Recurrence
Pending Confirmation
This article will serve as a breakdown of each status type.
Unconfirmed: This is the initial default status for a job. Unconfirmed means we need to contact the customer and confirm the job.
Confirmed: This status means the job is confirmed for its current date and time. The job is ready to be serviced.
*In the Service Template settings and individual job schedule settings, you can tell the system to start your job as Unconfirmed or Confirmed when it's initially generated.
Reschedule: This is a temporary status showing we need to move the job to another date/time and then toggle it back to Unconfirmed or Confirmed.
Complete: Once you toggle a job complete it generates the next job in the series. Jobs will not generate properly unless they have reached the Complete or Canceled status. Future jobs are only available as Recurrence until they are Complete or Canceled.
Canceled: Canceling a job will show the current job as canceled and void the attached invoice. The next recurring job will be generated and the recurring series will continue. Canceled status cancels this job only, not the entire service. You should think of this status as a skip.
Terminate Service: Once an active job has been terminated, all recurring jobs are deleted and and will be removed from the calendar. The associated invoice will be voided. When terminating a service, you must provide a reason for the termination and confirm your decision, as this action cannot be reversed.
In addition:
The terminated job will still appear on your calendar, however you will no longer be able to move, resize, or reassign the job from the calendar.
Terminated jobs will appear under the Jobs > Cancelled tab on customer's account.
If you accidentally terminated a job but the customer still wants to continue the service, you need to create a new job to replace it. The cancellation reason is a required field to avoid this mistake. Additionally, you must delete the wrongly terminated job to ensure the churn rate is accurate.
*To completely stop a service you'll need to delete or terminate the active job from the Calendar.
Recurrence: A recurring job in the series can be moved on the calendar but you are unable to work on or edit this job type. All jobs must be toggled to Complete or Canceled for the next recurring service to be generated. At this point, the next service will unlock and become available.
*If you notice your calendar is full of recurring jobs, this means you have not been closing your jobs entirely by elevating them to the Complete or Canceled statuses.
Pending Confirmation: These jobs are awaiting confirmation from your customer. This is due to a system confirmation message which has been sent to your customer.
