Add Users and Control Permissions

In GorillaDesk there are two user roles Admin & Technician. To change a user's role, you must be logged into the primary user account.

Each user then has their own permissions set within that role. The following images serve to show you the current permissions you can control for each user.

By default, the Tech role is limited to only accessing the customers and jobs assigned to them. This role also cannot permanently delete items from your system.

Permissions

  • Search Customer Profiles:

    • ON: When enabled, technicians can search for customer profiles using the search button in the mobile app.

    • OFF: When disabled, the search button is hidden. However, technicians can still access the customer profile by opening a job and tapping on the customer’s name.

  • Add Customers:

    • ON: User can add new customer

  • Edit Customers:

    • ON: User can edit customer details when logged in to mobile app

  • Add Jobs:

    • ON: User can add new jobs when logged in the calendar or within the customer account

  • Edit Existing Jobs:

    • ON: Technician can edit existing jobs that is assigned to them

  • Delete Jobs

  • Move All Recurring

    • ON: When a technician edit or move a job, the option to move all recurring job will be available

    • OFF: When a technician edit or move a job, the option to move all recurring job will NOT be available. They can only move a single job, whether it's the active job or one of the recurring jobs.

  • Stripe / Square Card:

    • OFF: The customer's Stripe / Square details will not show on customer profile when technician is logged in to the mobile app

  • Weather Card

    • OFF: Technicians cannot access or add weather data, as the Weather Card will not be visible in the job details.

  • Invoice Card

    • OFF: Invoices will be hidden from the job details and the customer profile.

  • Contact Information

    • OFF: The customer's contact information, including email address and phone number, will be hidden in both the job details and the customer profile.

  • WO Options

    • OFF: Work order options such as adding work order note, adding images, sending email / SMS, and viewing work order PDF will not be available.

  • Document Card

    • OFF: Technician will not be able to add, edit or delete document, as the Document card will not be available in the job details and customer profile.

  • SMS Filter by User

    • ON: The user will only receive SMS notifications from customers assigned to them, including those whose jobs have already been completed by the technician or have past schedules.

  • Edit or Delete Notes

    • ON: User can edit or delete any notes.

  • Edit or Delete Comments

    • ON: The user can edit or delete comments added by themselves or other users.

  • Edit or Delete Top Note

    • The user can edit or delete top note from customer profile or from the job details

  • Edit or Delete Tasks

    • ON: The user can edit or delete tasks that is assigned to them

  • Edit Check In / Out Time

    • ON: The user can edit the check in / check out time of the job assigned to them

  • Sales Commission

    • ON: Users with this permission have the ability to assign commissions to each user. They have access to the Commission Manager and can assign users in the 'Sold by' field within jobs and invoices.

  • Manage Todo Templates

    • ON: User with access to Settings, will be able to add, edit or delete an todo templates

  • Manage Note Templates

    • ON: User with access to Settings, will be able to add, edit or delete note templates

  • Show Work Pool

    • ON: User will be able to view the work pool from the calendar

  • Edit or Delete Time Offs

    • ON: User will be able to modify or delete time off that is visible in the user's calendar

  • Edit or Delete Events

    • ON: User can modify and delete custom events that is visible in the user's calendar

  • INBOX: EMAIL INBOX

    • ON: Email Inbox can be accesses when logged in to desktop and mobile app.

    • OFF: The Email Inbox cannot be accessed in the mobile app. The INBOX is still available in the desktop however the Email tab will not be available.

  • Add Time Off

    • ON: User can add time off events in the calendar.

  • Add Custom Events

    • ON: User will be able to add custom event in the calendar both desktop and mobile app.

  • Dashboard

    • ON: The user will have access to view the dashboard in the desktop version.

  • Export Customer List

    • ON: Admin have the ability to export customer list in Customers' tab

  • Manage Branch: (Admin only)

    • User can access the
