Gorilladesk's Smart Views feature allows you to create personalized, filtered views of customer data, sales pipelines, or any other relevant information

To access Smart Views, navigate to the Inbox, you can do so by expanding the menu in the upper left corner of your calendar.

You can locate the SmartViews section in the lower part of your sidebar. From there, you can begin creating and customizing your Smart Views.

  1. Click on the '+' button and enter a name for your Smart View then hit 'Save'. You can edit the name of your Smart View by clicking on the pencil (edit) icon.

2. Customize your list by selecting your filters. Click on the '+ Add Filter' button. In the filter window, you can select from the following filters:

  • Customers

  • Opportunities

  • Tasks

  • SMS

  • Calls

  • Jobs

  • Estimates

You can apply as many filters as you need. Your filters will appear below the '+ Add Filter' button, and you can modify a specific filter by clicking on it.

4. Click the 'Columns' button to choose the field you want to display in your Smart

View. Expand the options to view the available columns. Once you've selected your preferred columns, click 'Apply.'

6. Once your list is all set, click the 'Save' button located in the upper right corner. You can save your changes by selecting 'Save' and then choosing either 'Save and Update' to update the existing SmartView or 'Save As...' to save it as a new one.

You can utilize the following options available in Smartview:

  • Click the ' Set Limit' button to specify the number of customers you wish to include when sending bulk emails, printing, or exporting to CSV and Excel.

  • Click the "Call" button if you want to make consecutive calls to all the customers listed in the Smart View. This feature is only available with VoIP Growth plan.

  • Click the 'Email' button if you want to send a bulk email to all the customers listed in your current Smart View.

Smart View Permission

When creating or editing your Smart View, you now have the ability to set permissions on who can view or share a specific Smart View you created.

You have three (3) sharing options for your Smart View:

  1. "Keep it private - only visible to you" (default)- Set a specific Smart View to be visible only to the Superadmin.

  2. "Share with specific users" - Allow selected users to view specific Smart Views. They can edit the filters, but they cannot save the changes. Additionally, selected users can modify who can have access to the Smart View.

  3. "Share with everyone"- Allow access to specific SmartView for everyone in your company.

Note: Users with whom you've shared your Smart View also have the ability to delete it.
