Route Optimization: Best Available Time

Find the best available time for your new job or when rescheduling a current job.

This feature is available in V3 for the Growth Plan.

To activate this feature:

  1. Go to Add-ons > Route Optimization

  2. Turn on the toggle for Best Available Time (Power-Up).

Once you enabled this feature, you can now proceed on setting up the best available time parameters and permission.

3. Click on the 'Manage' button.

4. In the manage page, you can set the default radius and the number of days it should look for available time slots.

  • Max Miles: This parameter defines the maximum distance within which the system will search for nearby jobs.

  • Day Range: This parameter specifies the time frame in which the system will look for the best available time for scheduling jobs.

  • Drive Buffer: You can add a buffer or the actual drive time. For example, if the best available time is 10 AM because a nearby job ends at that time, adding a drive buffer (e.g., 4 minutes) will prompt the system to suggest 10:04 AM instead.

  • Available Calendar Slot

    • When disabled, the system will suggest nearby jobs regardless of whether there is a calendar slot available for the job duration.

    • When enabled, you can manually enter the minimum time slot to consider. For instance, if you enter 1 hour, it will suggest nearby jobs with at least 1-hour availability.

      • Example: If you enter a 1-hour time slot, even if the job duration is only 15 minutes, it will suggest nearby jobs with a 1-hour slot afterward.

Note: The best available time will only suggest nearby jobs with available time slots that can accommodate your new job.

5. Next, you can manage which users are allowed to use the Best Available Time feature. Simply click the toggle under the Permission column for each user you authorize to use the Best Available Time magnet feature.

How Best Available Time Works

When you create a new job or edit an existing job, you will see the Best Available Time field

The result will display the day, date, time, miles, nearby customer, and the assigned technician.
If the nearby customer field is empty, it means the best available time slot is close to your starting or end point (as defined under Settings > Scheduling).

The best available time suggestions will be based on the default parameters you set under Addons. However, if you wish to customize the parameters, you can do so by clicking on the gear icon.

This will open the Best Available Time modal, where you can adjust the distance and day range, as well as select another schedule or schedule groups.

The nearby jobs will automatically update after you make the changes, select a a best available time slot and click Apply.

When you select the best available time for the new job, the job's date, time, and assignee will automatically update to reflect your selection.
