Quoting with NetSuite

A comprehensive guide for mobile users to configure your FieldAware and NetSuite accounts to enable the Quoting in NetSuite feature.

Field technicians can generate quotes with real-time pricing pulled directly from NetSuite. This ensures each quote reflects current pricing rules, including any customer-specific discounts or pricing tiers. Providing accurate estimates on-site helps reduce pricing errors and supports timely decision-making during customer interactions.

What's more, FieldAware Quotes now sync to NetSuite Estimates, allowing you to have a full end-to-end quoting/estimating flow from field to back-office.

Fetch pricing for Quotes: How-to for mobile users

Before testing out these steps on mobile, please ensure the feature is configured correctly as set out in the Configuring Quoting in NetSuite section below.

  1. On the mobile, create a Quote.

  2. Add all the relevant Tasks and Items representing the scope of the Quote.

    1. You will see these line items are added with a price of 0.00.

  3. When you are satisfied with the line items (i.e., Tasks & Items), return to the Quote summary screen.

  4. Notice in the Price cell, you will see a note saying "Tap to receive the latest prices"

  5. Tap the Price cell, and in the Price screen, you will see a button labelled "Request Pricing."

  6. Tap this button and wait a few moments. The Quote will now update with the latest prices, sourced from NetSuite, with the appropriate pricing rules applied.

Sync FieldAware Quote to NetSuite as an Estimate

You can configure your account so that FieldAware Quotes which are Completed and Approved will automatically create an Estimate in NetSuite.

Reach out to your contact in Support, CSM or Professional Services and they can enable this feature in your account. With this setting on, quotes created in FieldAware - whether on mobile or on web - will cause a corresponding Estimate to be created in NetSuite.

The synced Estimate in NetSuite will include the FieldAware Quote ID, status, customer and location details, task and item pricing, creation timestamp, and any associated job lead, giving sales and operations teams immediate access to accurate quoting data.

Configuring Quoting in NetSuite

The following instructions explain how to configure your FieldAware and NetSuite accounts to access the features described above.

Enable Estimates in your NetSuite account

You must enable Estimates in NetSuite. Here’s how:

  1. Log in to NetSuite as Administrator.

  2. Navigate to: Setup > Company > Enable Features.

  3. Select the "Transactions" tab.

  4. Verify the "Estimates" feature is enabled.

Upgrade to the correct SuiteApp version

You must be using the FieldAware SuiteApp version 2.30.0 or higher. Here’s how to check the version of your app:

  1. Navigate to: Customization > SuiteBundler > Search & Install Bundles > List.

  2. Locate FieldAware SuiteApp Bundle (Bundle ID: 244449).

  3. Confirm version ≥ 2.30.0.

Turn on the NetSuite Pricing feature

You must ensure the NetSuite Pricing feature is turned on for your account.

This can be arranged through FieldAware Support, your account manager, customer success agent, or professional services liaison.

Roles and Rights: View Quote Price

The field tech/mobile user must have the Quote Price Actions permission set to View to see the prices sourced from NetSuite.

Note: Prices can also be sourced if this permission is set to Edit; however, doing so runs the risk of the field tech overriding the NetSuite pricing, which may not be compatible with your current process.
