Scheduling Reports

This article discusses how to schedule reports from the Reports Page of the Portal.

Scheduling reports to arrive directly in your inbox and the inboxes of any intended recipients eliminates the need for manual retrieval and ensures important insights never get overlooked. It provides a timely prompt to review key information and take action.

You can create and manage schedule reports from the My Scheduled Reports tab of the Reports Page.

Viewing the My Scheduled Reports Tab

The My Scheduled Reports Tab shows all of your scheduled reports in a sortable and filterable view. Each scheduled report is displayed by email subject, report type (new or legacy), schedule, and next scheduled run date.

You can search for a report using the Search field.


Filtering the Scheduled Reports Table

Alternatively, you can use the filter options to filter the table by schedule, email address, or active status.

  1. Click the Filter button.



    The Filter bar expands.

  2. To remove selected filters, simply click Clear Filters.


Understanding Report Type

There are two report types: New and Legacy. Report type is identified in the My Scheduled Reports tab table under the Report Type column for each scheduled report.

Additionally, the report type is indicated in the Report Name drop-down when creating a new report.


New Report Type

The New report type features upgraded reporting capabilities, offering superior analytics and data handling capabilities.

Scheduling is available for the five reports listed below:

  • Fleet Utilization

  • Diagnostic

  • Driving Violations

  • Driver History

  • Driver Scorecard


New Report Options

Report options vary based on the selected report when scheduling or running a report. Below is a table of report options for each available report.

Legacy Report Types

Our Legacy reports and reporting system remain available when creating and maintaining scheduled reports. This report type features our legacy appearance and data handling capabilities.


Legacy Report Options

Report options differ depending on the specific report you choose to run or schedule. Most of the 40+ Legacy reports can be scheduled. The following Legacy reports cannot be scheduled:

  • DTC Alerts

  • Odometer History

  • Service History

  • Landmark Begin and End of Day

  • Route Efficiency Detail

  • Route Efficiency Summary

  • Truck Activity

  • Driver List

  • Vehicle List

To help you compare the features available in New Reports with those in Legacy Reports, we’ve outlined the reporting options available for the Legacy versions of the five New Reports currently offered.

Scheduling a Report

How to Schedule a Report

Note: Report options vary between reports. If you do not see a report option listed below that matches the one you are viewing in the Schedule report drawer on your screen, please complete the options to meet your reporting needs.

  1. From the My Scheduled Reports tab, click + Schedule a report.

    The Schedule report drawer appears at the right-hand side of the screen.

  2. Under Report Name, use the drop-down to select the name of the report.
    Note: Labels indicating whether the report is New or Legacy are provided for each report infront of the report name.

  3. Under Data Source, click the displayed data source to open the Data Source Selector and select your data source for the scheduled report.

  4. Under Schedule, use the drop-down to select the cadence schedule from the available options.

  5. Under Report Format, click in the field to view options or begin typing in the desired format, then click on the option(s) to select (indicated with a checkmark).

  6. Under Email Subject, enter the Subject Line for the email.
    Tip! Use unique yet clear email subjects to identify scheduled report content quickly by email subject line.

  7. Under Addresses, enter the email addresses for intended recipients (use a space or comma to separate email addresses).

  8. Complete applicable fields under Report Options, Add Columns, etc.
    Note: You cannot add Diagnostic columns to New reports.

  9. Click Schedule Report.

    A pop-up appears at the top-right corner of the screen confirming the report has been successfully scheduled.


Managing Scheduled Reports

You can edit and delete scheduled reports from the My Scheduled Reports tab.

Editing a Scheduled Report

Note: For Legacy reports, you can deactivate scheduled reports by selecting No under Active in the Edit drawer. This will pause automated emails of the scheduled report until you activate the report again. This function is unavailable for New reports.

How to Edit a Scheduled Report

  1. From the My Scheduled Reports tab, locate the report you want to adjust using the Search field, filters, or by navigating to it from the displayed table.

  2. Under the Actions column, click the Edit icon from the report row.

    The Edit report drawer appears on the right-hand side of the screen.

  3. Make your edits, then click Save Changes.

Deleting a Scheduled Report

How to Delete a Scheduled Report

  1. From the My Scheduled Reports tab, locate the report you want to delete using the Search field, filters, or by navigating to it from the displayed table.

  2. Under the Actions column, click the Trash icon from the report row.

    The Delete Scheduled Report pop-up appears.

  3. Click the button next to the option you’d prefer: Deactivate (ability to reactivate the report later) or Delete (permanently delete).
    Note: The Deactivation option is unavailable for New reports and will appear greyed out in the pop-up.

  4. Click OK.
