Export a list of community members with helpful profile information directly from your dashboard. You can export all members or use a date range to export members based on when they joined the community.
You can request a member export from Members > Members List, or from Reports > Member Export.
To export from the Members List, follow the steps below:
Sign into your dashboard.
Select Members from left hand side menu.
Select Members List.
Select if you’d like to export Approved, Pending or Unapproved from the top (Approved are active users, Pending are deactivated and Unapproved are blocked members).
In the upper right, select the Export button.
In the export window, confirm the Timezone. It defaults to your local timezone.
Choose the date range for the export using the From and To fields. The date range is pre-filled with the past week, from seven days ago through today.
The date range filters members by their Joined at date. Members who joined on the From or To date are included in the export.
To export members from all dates, clear both the From and To fields.
Select OK to generate the export.
You will receive an email with the CSV file as soon as the export is available.
When a date range is used, the selected period is shown with the export details, including the timezone used for the request. The exported file name also includes the selected date range so it is easier to identify later.
For example: members-export-20260709-to-20260716-20260716-1735-PDT.csv
If you export members from all dates, the file name does not include a date range.
Note: Using a date range can help create a smaller export when your community has a large number of members. Export size limits still apply, so if the selected date range contains too much data, you will need to request a smaller date range and try again.
Note: This file will be accessible for download for 1 hour. If it expires, you can pull a new list by following the steps above.
Member Information
The report not only includes the mandatory onboarding profile information about each member such as their name, email, company, and title but more.
Activity
The export includes important date and times of the user's activity in the community as a member. You can manipulate and sort the export data to see who's completed their profile, who's logged in, and at what exact location within the community they were prompted to sign up to be a member
Here are the columns where you can track some of these timestamps:
Created at column lists the date and time the member was added to the community, either by signing up themselves on the front end, or in the dashboard (back end) manually by admin, bulk uploaded by the Gradual team or via API.
Signed up at column lists the date and time the member actually logged into the platform and signed in for the first time.
Note: If the 'CreatedAt' and 'SignedUpAt' are the same, the user signed up and created an account as a member on the front end themselves. If this field is blank, the user was likely created via API or bulk upload.
Onboarding at column lists the date and time the member filled out all required profile questions, completing their profile (what we refer to as 'onboarded'). If it is blank, it indicates that the member has not completed their profile.
Note: Members must complete their profile to join interactive events like meetings, roundtable conversations, and matches through 1:1 networking. They also must have a complete profile to engage in chat or message other community members.
Last login at column lists the date and time the member initiated the login process and requested a magic link to log in.
Last online at column lists the date and time the member was last online in the community and had an active session.
Refer URL column lists the URL where the user signed up to be a member of the community. This is particularly helpful to track if you have gated content (that prompts users to join the community (or sign in) to view the content) and you want to see who's prompted to sign up from that content.
Note: A member may have values in Last login at or Last online at but a blank Signed up at field. This is expected behavior. Signed up at is only populated when a member completes an explicit sign-up or account claim flow (passwordless signup, SSO first login, or claim account/profile completion after invitation). Members created via import, API, or admin who only log in afterward may show activity timestamps while Signed up at remains blank.
Rewards Points
If you have the Points+Badges mode enabled for your community contributions, your members' lifetime and redeemable points will appear in this member export.
Profile Information
If the member has completed their profile, the answers to those questions, their bio, and their profile picture avatar link are included in the export. Otherwise, those columns will remain blank.
The member export also includes City, State, and Country as separate columns following the existing Location column. These values come from the member’s Location information, while the Location column continues to show the full location as before.
If only part of a member’s location is available, the export will include the available information and leave the remaining City, State, or Country cells blank. For example, if a member’s location includes a city and country but no state, the State cell will be blank.
Member type
The member type will be included in the report. There are three member types: Standard, Guest, and Limited Approval.
Learn more about them here.
Spaces
If the member has been assigned to any spaces, that information will be listed under the "spaces" column.
Clubs
If the user belongs to any clubs, it will be included in the report. Otherwise, the "clubs" column will be left blank.
Event Attendees
If you're looking to export event registrants or attendees, follow these steps.
