How to set up the Texas RRC Production Form reporting tool

First, we'd like to thank the Texas Railroad Commission for their assistance in helping us build this feature – our hats off to you!! πŸ™Œ

Without further ado, let's roll up our sleeves and dive in πŸ’ͺ🏻

For GreaseBook to file your production with the RRC Commission, your facility batteries must first be set up as Texas Leases in the GreaseBook.

To do so, simply go to Settings (left nav bar) > Facilities (top nav bar) > select any facility battery and simply click the small pencil beside the name:

On the 'Facility Edit' modal that presents itself, simply select 'TX – Texas' underneath the State dropdown then click 'Save':

Now, simply rinse and repeat for all Texas-based Leases! 🀠

Once you have all your Texas-based Leases marked as such, it's time to add a new filing Operator in the GreaseBook.

To do so, go to Reports (left tab) > State & Government Reports (top tab) > and select 'Run' on the report that reads 'Texas RRC'.

You'll be prompted with a message that says "To use the Texas PR Form filer tool in your operations, please set up a new filing Operator to begin!"

Simply click the green button that reads "Create Operator" and add your credentials:

  • Official Operator Name

  • Operator Number

  • check box next to all Leases associated with this Operator

Side Note: Many Operating Companies have several operating names and numbers with which they use to file with the RRC. And, the GreaseBook will permit you to add as many Operators as you'd like by simply 'Creating New Operator Group'. If this applies to you, please note that each Lease can only be assigned to one Operator. That said, if you select to add a Lease that's already been assigned to another Operator group it will be assigned to your new group and removed from the other πŸ’β€β™€οΈ

Now that our Operator Name and Number have been created in the GreaseBook, it's time to move forward with adding all Lease information required by the Texas Railroad Commission to the system.

And, while this can take a bit of time, imagine the hours we'll gain each month once we're all set up! 😌

That said, if you don't already have all your information gathered for each Lease, follow this link to visit the "Texas RRC Production Reports Queries" tool. Next, under Production by Filing Operator, type in your company's Operator No (i.e. operator number) > select Lease Type and a filing from a prior Production month.Β 

From there, you'll be presented with all the data we need to knock out our remaining steps πŸ˜‰

Now that we have the required Lease info, we must add the official Lease Name, Oil Lease Number / Gas ID, and Field Name to each Lease exactly as they appear on RRC proration schedule.

To enter the lease info, select the Filing Operator Group you want to work out of then fill in all of the pertinent data! If you entered this data at the Settings > Facilities > Edit Facility page, data will auto-populate for you!

Remember: the working Lease Name we use in the field and around the office is often times different from official Lease Name on file with the Texas RRC. And, to minimize communication errors (and to keep everyone happy! πŸ˜…) we store BOTH working or common Lease names and Official Lease Names in the GreaseBook.

To edit information at the Facility level, simply go to Settings (left nav bar) > Facilities (top nav bar) > select any battery facility and simply click the small pencil beside the name to manage the property details.

From the Facility Edit window you can edit the RRC info:

  • Official Lease Name

  • Field Name (exactly as it appears on RRC proration schedule!)

Finally, any Commingle Permits that are associated with this Lease should be added here, too.

To add Commingle Permits, in Commingled Leases section simply click the 'Add' button.

From here, you'll be able to add:

  • Lease Name (exactly as it appears on RRC proration schedule!)

  • Oil Lease Number / Gas ID

  • Percentage of lease total to apply to specific Commingle Permit Number

Finally, while the GreaseBook PR Form filer tool will autofill many of the elements of each Lease for you during set up from your Facility Edit window (example: whether Lease Type is Oil, Gas, or Pending) you will have to set the District in which each Lease is located.

Reports > State & Government > select Filing Operator Group

To set District for the Lease, simply click the dropdown and select it:


Once each element is filled out for the battery facility, simply hit 'Save' in the upper right hand corner of the tool:
