Importing production info into your SSI Accounting System

So, you're closing out the month and you'd like to import the necessary production information from the GreaseBook to your SSI Accounting System?

Perfect! Before we can export the information, it's important you add the Identifier Numbers assigned to each Battery in the SSI System to the GreaseBook.

This step is only required once, and it's necessary so we can tie everything together between two systems.

To do so, go to Settings on left navigation bar > Batteries from top navigation bar > then click 'Edit' beside each Battery to which you'd like to add a Battery Identifier Number.

Now that our Battery Identifier Numbers have been set up in the GreaseBook, it's time to download the export file...

To export this file from GreaseBook, first go to Reports on left navigation bar > then select 'Integrations' from top navigation bar.

You'll now be presented with a list of several canned reports โ€“ and, the report we're after is entitled: "Reconciliation Export: SSI"

To produce report, simply select date range (because accounting works on a rolling monthly basis, your date selection range would generally be first day of month to last day of month) > select which Batteries you'd like to import > then beside the Reconciliation Export: SSI report simply click 'Download':

The GreaseBook will now produce an export file which will include Oil Produced, Oil Sold, Water Produced, Gas Produced, Comments and the like...

Finally, to import this file to the SSI system, simply follow along with the video below:

Here is step by step of the video above in case you need a little more time to walk through the process:

After downloading"Reconciliation Export: SSI" you are going to save the file in your SSI folder, called "ssif".

The "ssif" folder will located in whatever drive your SSI program is downloaded in.In the screenshot below, SSI is located on the Programs, 'P:\ ' drive.

Locate and open the "ssif" folder.

Open the folder and scroll down the "Excel" Folder.

Once you are in the "Excel" folder, re-name your downloaded file, "greasebook01" or whatever company code you are working with.

If you have 3 companies in SSI, then name the file with the associated company identifier, i.e. "greasebook02" for company 2, or "greasebook09" for company 9. Then click "Save".

Now that you have the Greasebook file saved open up your SSI program.

To import production numbers, click on the "Oil & Gas" tab, then click on "Production".

Under the Production Entry section, click on "Production Import - OG30I".

A new window will open to select the company you are working with. The import company should be the same company code you saved your Greasebook file as, "greasebook01" should match for company 01. Click the green check mark.

The next window will ask you to select a year you are importing for. Select the year you are importing for from the dropdown box and click the green check mark.

The next window will show you the Greasebook file you want to import.

On the top right of the window, select the month you are importing for.

To verify the information is correct, you can click "Review ASCII File" to walk through each lease to verify the information for import is correct.

Once you are ready to fully import the Greasebook file into SSI, click the run button.

Your data is now imported into SSI.

Each time you need to import into SSI, just overwrite the existing file, always saving it as "greasebook01" or the associated company name.

The file link should read: P:\2013\SSIF\EXCEL\GREASEBOOK01

where 'P:\2013' is the name of the folder where your SSI program is located.
