How to quickly import Oil and/or Gas Sales as Reported by your Purchasers

How to quickly import your monthly Purchaser data so that you can compare it against pumper data collected as well as report on it...

Greasebook offers a convenient way to make quick work of importing Oil and/or Gas Purchaser info to the app.

This is particularly useful for those of you producing in house reports to uncover variances between Purchaser Sales and the totals reported by your pumpers, as well as reporting on a large number of wells to the Texas RRC.

That said, let's dive in!

To access the Excel import template with which to work, simply go to Reports (left hand side bar) > Import Data (top navigation bar) > then, select 'Purchaser Sales' tab below...

From here you'll be presented with ability to 'Download Template' with which to work:

Once you've got the template download, filling out your template is straightforward and fairly self explanatory...

Basically, the file consists of 4 different tabs:

  • Oil Sales

  • Gas Sales

  • RRC Oil Dispositions (Texas Operators only – see below 🀠 )

  • RRC Gas Dispositions (Texas Operators only – see below 🀠)

Each tab is optional (and for obvious reasons, at least one of them must be filled in πŸ˜‰)

βœ… Oil Sales: through this tab you can quickly import Oil Sales as Reported by your Purchasers.

Please note that each column in your Excel template has tool tips on how to format your data...

For example, you can see by simply hovering over 'Battery', you're presented with the different formats the template accepts for importing Sales for a particular Battery:

To import Oil Sales for the month, simply fill out:

  1. Battery (ex: Battery Greasebook Id, Battery Identifier, Battery Name, or State Identifier...)

  2. Month and Year Sales took place (ex: 03-2020)

  3. Purchaser to which the Oil was sold (ex: Purchaser GreaseBook Id, Purchaser Identifier, or Purchaser Name)

  4. Finally, add the number of Barrels Sold to the 'Truck' column, and that's it!

Finally, please note that each row corresponds to a single Purchaser for the month for a particular Battery.

So, if you sold oil to more than one Purchaser in a month at the same Battery, you'd require a separate row for each Purchaser.

Attention: Texas Operators 🀠

So that we can leverage this info for the RRC, please be sure to break out your Oil Sales accordingly on the under the appropriate Truck, Pipeline, or Tank Car / Barge columns. Production from other States can ignore this step.

βœ… Gas Sales: through this tab you can quickly import Gas Sales as Reported by the Purchaser.

Again, please note that each column in your Excel template has tool tips on how to format your data.

Finally, once the template has been filled out and the file imported, you'll see a general overview of the imported data:

  1. You can filter by Month, Year or Sales Type (Oil or Gas).

  2. You can also filter by battery here.

  3. Here you can see the total sales for the filtered batteries, against the total reported by your pumpers in parenthesis.

  4. You can also Add a new monthly sale manually, in case you missed it on the excel Template.

  5. And you can manually edit or delete any entry without needing to re-upload the whole file.Β
