Automate your RFP workflow with as-is uploads and auto-mapping

Overview

RFPs can be a time sink, we know. So we created a time-saving, user-friendly UI that allows you to upload an RFP spreadsheet as an Excel or CSV file in whatever format the customer uses. Instead of spending days reworking and pricing an RFP, a broker rep can upload it as it is and get accurate rates in minutes - and then export, edit, and re-upload if necessary, while keeping the original spreadsheet intact. You can even flag high-risk lanes by margin and confidence. The tab also keeps your RFPs nice and organized for quick status reviews.

You can find the RFP tab under the Pricing tab, which also includes quotes, pricing rules, and Sales Insights. Access to full functionality is controlled through a Keycloak role. Contact your Triumph Customer Success representative to enable access.


The RFP Process


Adding an RFP

Details and Upload

  1. On the Pricing tab, go to the RFP tab:

  2. Click Add new RFP:

  3. In the detail window:

    1. Give your RFP a clear, recognizable name

    2. Fill in the name of the shipper and the contract dates

    3. Select a flat or per-mile rate.

    4. Select a currency (USD or CAD)

    5. Select a rate basis (All-in or Linehaul only):

  4. When you're finished, click Save.

  5. To configure your fuel settings, click Configure and select a fuel index (national or regional). If the shipper uses a regional index, Intelligence will compare to prices near the pickup location.

  6. Select a baseline cost, and a cent interval. When you're ready, click Save.

  7. Review your RFP details, and if everything looks good, click Upload Round 1 File to upload your RFP.

  8. Drag and drop your RFP file into the upload window, or click Click to Upload to select a file.

  9. If your file contains multiple shippers, you'll see a window where you can select an origin or destination for each shipper.

  10. Click Next to go on to column mapping.

Column Mapping

This is where you match columns from your spreadsheets to the fields Intelligence uses to get rates for RFPs.

  1. Select whether to include a Fuel Breakout in your export:

  2. Map data columns from your upload.

    1. Fields from the shipper RFP will be auto-mapped to fields used by the Triumph system:

    2. Where field titles don't match, you can select a corresponding field, so it's not a problem if the customer uses a different field title:

    3. If any of the lanes are multi-stop, you can add more stops by clicking Intermediate Stop(s) at the top right and map those fields too:

    4. If you need to add customer comments or other columns for the sake of context, click Add Context Column at the bottom of the screen. Information added here is just for the sake of context and will not be included in rate calculations.

  3. Click Proceed.

  4. On the Value Mapping page, assign values from your RFP to the ones the Triumph system uses, e.g. "Refrigerated truck" to "Reefer." Select the correct terms and click Apply Mapping.

Summary

  1. Review and verify the information you've entered so far and click Proceed to move forward with editing your RFP.


Reviewing and Editing your RFP

The RFP Detail Page

The RFP detail page provides an overview of your RFP and allows team members quick access to the original raw data.

The detail page includes:

  • General information about your RFP, such as dates and fuel configuration:

  • A selector for viewing each round of the RFP:

  • All uploaded files:

  • Team members who are assigned to the RFP:

Editing Lanes and Margins

Review your lanes and make any necessary changes to prices or markups.

Editing Lane Data

To edit lane data, click Edit Lanes on the upper right. Click a field to edit a single lane, or select several lanes using the checkboxes on the left. When you're finished, click Apply Changes.

Changing the Sell Rate Baseline for Multiple Lanes

You can select a different rate type, such as the Verified Buy Rate or the Market Rate, to use for a pricing baseline. This gives you more control over your pricing. You can apply a different baseline to all lanes or only a few.

  1. Select the lanes for which you want to change the baseline using the checkboxes on the left. This will bring up your edit buttons on the right.

  2. Click Edit Sell Rate Baseline.

  3. Select a new baseline for the lanes and click Save.

Changing the Margin for Multiple Lanes

  1. Select the lanes for which you want to change the baseline using the checkboxes on the left. This will bring up your edit buttons on the right.

  2. Click Edit Margin.

  3. Enter your new margin % and click Save.

Adding External Vendor Rates

You can upload external pricing data from a vendor to your RFPs by clicking Add External Data on the upper right of the RFP page and uploading a CSV or Excel file.


Publishing and Submitting your Lanes

When your lanes look good, it's time to publish and finalize them. Publishing lanes locks in the price and allows you to export only published lanes when you export to RFP format (the format used by the shipper in the original upload).

Publishing Lanes

Select the lanes you want to publish to your RFP with the checkboxes on the left. Sometimes you may want to no-bid certain lanes. If you publish the lanes you want to bid, and export the RFP published lanes, the lanes that are unpublished will go back to the RFP as no-bids.

  1. At the bottom right, click Publish:

Marking the RFP as Ready to Submit

When you've published your lanes and your RFP looks good, click Submit to Customer on the bottom right. This tells your teammates that the RFP is ready to send. Submit to shipper. The lanes of the round can no longer be edited, and the RFP then waits for the award to come back.

Marking the RFP as Submitted

Marking an RFP as submitted tells your team that you have completed it and sent it to the customer. To mark an RFP as submitted, click Submitted to Customer on the lower right.


Uploading an Edited RFP

If the customer returns the RFP for corrections, you don't have to edit every single lane. Once an RFP has been marked as submitted, you can upload a corrected version. Click Start next round on the bottom right, and follow the steps for uploading a new RFP.

Round 2 is now visible on its own tab:

  1. Go to the RFP tab and find your RFP

  2. Click the corresponding three-dot menu.

  3. Select Upload Round [number]:

  4. Follow the steps for uploading a new RFP.

Exporting an RFP

To export an RFP:

  1. Click the drop-down menu on the top right and select a format for your export.

    • Triumph format exports all columns into an Excel file that uses our standard columns. This is good for editing and re-uploading.

    • RFP format exports to an Excel sheet that matches the formatting of your original upload, i.e. the RFP you received from the customer. RFP format allows you to include all lanes or published lanes only in your export. Sometimes you may want to no-bid certain lanes. If you publish the lanes you want to bid, and export the RFP published lanes, the lanes that are unpublished will go back to the RFP as no-bids.

  2. Click Export.


Managing your RFPs on the RDP Tab

Status

You can track, download, and export your RFPs from the main RFP page.

The three-dot menu on the right lets you download or export an RFP.

Filters

You can filter your view of listed RFPs by status, customer, or assignee:


Adding an Award

Adding an award lets your team know that the RFP has been submitted to the customer and the customer has awarded you the contract. You can upload an award just as you did the original RFP.

Uploading an Award

  1. Click Add an Award.

  2. Drag and drop your award

  3. Map your fields just as you did with your original RFP.

Adding an Award Manually

Maybe there are only a few lanes on the RFP, and you prefer to add them manually. Here's how:

  1. Click Add Award:

  2. Click Manually add award:

  3. Click Manual Entry to verify that you want to add the award manually.

  4. For each lane, enter a status, awarded volume, awarded frequency, and price.

  5. Click Save.

  • The summary panel on the left shows an overview of your margin and margins from the general market:
