Notify the member when their order is ready for pickup

Notify a member when their in-store pickup order is ready.

Written by Manon Carneiro

If you've enabled In-store pickup in a club shop's settings, club members can choose to collect their order in-store instead of having it delivered.

For these orders, two email notifications can be sent from the fulfilment app. You trigger them yourself, order by order or in bulk from the Processed tab. Only the second one is essential: an order can be marked ready for pickup straight away, without sending the "on the way" email first.

The two in-store pickup notifications

1. Notify shipment (optional)

Send it when the order leaves the customisation workshop on its way to the pickup location.

This notification tells the club member their order is on its way. It doesn't mean the order is available in-store, that's the second notification's job. It's useful when getting the order to the store takes several days.

2. Order ready for pickup

Send it only when the order is physically at the pickup location, ready to hand over to the club member.

This notification sends an email telling the club member they can come and collect their order. The email includes the store's name and address.

Important: only send this notification once the order is actually in the store.

Notify several pickups at once

No need to notify each buyer manually: from the Processed tab, let a whole batch of club members know at once that their order is waiting for them in-store.

  1. Open the Processed tab.

  2. Use the Notification filter to show only the orders still to notify.

  3. Tick the relevant orders, or click Select all.

  4. In the action bar, click Notify, then choose Pickup.

  5. Check the confirmation, then validate: the "ready for pickup" email goes out to the whole selection.

The same menu offers Shipment to send the "on the way" email in bulk, if you'd like to give club members a heads-up before the order reaches the store.

Important: sending can't be undone. Double-check your selection before validating.

Track pickups with the Notification column

The Notification column and filter show where each pickup stands:

  • To notify — no email has been sent yet

  • On the way — the shipping email has been sent, the order isn't marked ready yet

  • Ready for pickup — the "ready for pickup" email has been sent

Notify a pickup from an order

Notify shipment

  1. In the fulfilment app, open the relevant order.

  2. Click Notify shipment.

  3. Confirm: the email is sent immediately to the address linked to the order.

Notify in-store availability

  1. Once the order has arrived and is available at the pickup location, open it in the fulfilment app.

  2. Click Order ready for pickup.

  3. The club member receives an email inviting them to collect their order.

Tip: hand this notification over to the person who physically receives orders in-store. They're best placed to know when the order is really available.

FAQs

Do I need to send the "on the way" email before marking an order ready?

No. You can mark an in-store pickup order as ready straight away, in bulk or from its page. The shipping email is still available if you want to give the club member a heads-up.

Why two separate notifications?

The time between dispatch from your warehouse and arrival in-store can be several days. Sending the availability notification too early could bring club members to the store before their order is there.

Does the club member receive both emails?

They only receive the emails you send. If you trigger both, the first says the order is on its way, the second says it's available in-store with the pickup location's address.

What does the club member receive for a split order?

If the order was split into several preparations (for example because of a backorder), the first email says part of the order is ready for pickup, then the next one says the rest is ready too. See Manage backorders in the fulfilment app.

The "Order ready for pickup" button isn't showing, why?

This button only appears for in-store pickup orders. For other delivery methods, only the shipment notification is available.

Is in-store pickup enabled by default?

No, it needs to be enabled in your club shops' settings.
