📱 GSMtasks Driver App Guide

Login, going online, accepting tasks, navigation, task completion, failed tasks

Welcome to the GSMtasks Driver App!

The Driver App allows drivers and field workers to receive tasks, navigate to customers, update task statuses, collect proof of completion, and stay connected with the office in real time.

This guide covers everything you need to know to start using the app confidently.

In this guide you'll learn how to:

1. Download the GSMtasks Driver App

The GSMtasks Driver App is available for both Android and iOS devices.

Download it from:

After installing the app, you're ready to log in using the credentials provided by your company.


2. Sign in

Open the GSMtasks Driver App.

Enter:

• Your email address

• Your password

Tap Login.

If you've forgotten your password, contact your administrator or reset it using the Forgot Password option (if enabled).


3. Enable permissions

When prompted, make sure to allow the following permissions so the app works correctly:

📍 Location – set this to Always. This allows tracking to keep working for the admins even when the app is running in the background.

🔔 Notifications – this ensures you get a popup alert whenever a new task is assigned to you.


4. Go On Duty

Before you can receive tasks, you must be marked On Duty.

Simply enable the On Duty toggle at the top of the app.

Once you're on duty, any tasks assigned to you will automatically appear in your task list.

⚠️ Important

If you switch to Off Duty, you'll still be assigned new tasks, but you won't see them in your task list until you go back On Duty.

⚠️ Important

Location permission must be set to Always in your phone settings so admins can track on-field workers, including while the app is in the background.


5. Viewing your tasks

You can view assigned tasks in a few different ways.

List View

The default view displays all assigned tasks in chronological order.

Each task includes:

  • Customer name

  • Address

  • Scheduled time

  • Current status

  • Estimated arrival time (if applicable)

You can also filter your task list to quickly find specific tasks, and, if enabled, reorder tasks manually by dragging them into your preferred sequence.

Map View

Tap the Map icon to see all assigned tasks displayed on a map.

This is useful when you want a visual overview of nearby jobs.

Task markers are numbered according to your current route.

Different colours indicate different task statuses.

Tap any marker to open the task details.

Routes View

You can also view your assigned routes directly in the mobile app for a clear overview of your planned stops.


6. Optimizing your route

If route optimization is enabled for your account, you can optimize your assigned tasks directly from the Driver App.

Tap Optimize in the top-right corner.

You'll be asked how you'd like to optimize your route.

Transport Time

Prioritizes the shortest driving distance between tasks.

Ideal when travel time is your main priority.

Completion Time

Considers each task's scheduled time window (Complete After and Complete Before) to help ensure deliveries or appointments are completed on time.

💡 Good to know

Not all companies allow route optimization from the Driver App. Availability depends on your organization's settings.


7. Accepting or rejecting tasks

When a new task is assigned, you can either accept or reject it.

Accept a task

Swipe the task to the right.

Accepted tasks turn dark blue and your dispatcher is notified that you've accepted the assignment.

Reject a task

Swipe the task to the left.

The task disappears from your app and returns to the Unassigned column in the Dashboard for reassignment.

Unaccept a task

If needed, you can undo an accepted task by swiping it back to the left before work has started.

💡 Good to know

Accepting and rejecting tasks is only available if this feature is enabled in your account settings. Many companies don't use this feature, and it is not mandatory in order to start working on a task.


8. Opening a task

Tap a task to open its full details.

Here you'll find everything needed to complete the job, including:

  • Customer information

  • Address

  • Contact details

  • Notes

  • Attachments

  • Custom fields

  • Deadlines

  • Scheduled time

Take a moment to review the information before starting your journey.


9. Start navigation

When you're ready to leave, tap Start Driving.

You can navigate using your preferred navigation app, including:

  • Google Maps

  • Apple Maps

  • Waze

💡 Good to know

In your app settings, you can choose which navigation app opens by default, and toggle whether it should open automatically as soon as you tap Start Driving.


10. Arrive at the destination

Once you've reached the customer, tap Arrived.

This updates the task status and lets the office know you've arrived on site.

PS! This step can be removed from the workflow. Contact our support to remove the Arrive button.


11. Complete the task

Before completing the task, you may be asked to provide proof of completion.

Depending on your company's workflow, you can:

📸 Add photos

🎥 Record videos

✍️ Collect customer signatures

📝 Add notes

📋 Complete custom fields and/or forms

Once everything has been completed, swipe Swipe to Complete to finish the task.

The office will immediately see that the task has been completed.

💡 Tip

Some tasks may require mandatory, specific information - such as a signature or custom fields - before they can be completed. Ask our support to make any steps within the task mandatory.


12. Failed tasks

If you're unable to complete a task, tap Failed.

You'll have the opportunity to:

  • Add notes explaining the situation

  • Upload photos or videos

  • Submit the task as failed

The task remains assigned to you and can be completed later if needed.

Alternatively, your dispatcher can reassign it or reschedule it from the Dashboard.


13. Restarting a task

If you accidentally start a task or need to restart it before completion, you can use the Restart option.

⚠️ Important

Once a task has been marked Completed, it cannot be restarted.


Frequently Asked Questions

I don't see any tasks.

Make sure you're marked On Duty. If you're Off Duty, tasks may still be assigned to you, but they won't be visible in your list until you switch back On Duty.

I can't complete my task.

Your company may require a signature, photo, note, or custom field before completion.

Can I use Google Maps?

Yes. GSMtasks supports Google Maps, Apple Maps, and Waze for navigation. (anything more?)

What happens if I reject a task?

The task returns to the Dashboard's Unassigned column, where it can be reassigned by a dispatcher. Note that accepting/rejecting is only available if this feature is enabled for your account.
