Glossary, product terminology, task states, user roles, waypoint types, definitions

This glossary defines the main product terms used across the GSMtasks Dashboard, Driver App, settings, task workflows, routing tools, reports, integrations, and Help Center. Related interface labels are grouped under broader vocabulary terms to keep the glossary clear and easy to scan.

A

Account
A GSMtasks workspace containing its users, tasks, contacts, settings, routes, reports, and other business data.

Account Roles
Custom access roles that determine which parts of an account a user may view or manage.

Add-ons
Optional GSMtasks features or services that can be added to an account.

Admin
A user with full access to the account, including settings, users, tasks, integrations, billing, and permissions.

API Key
A secure credential used by another system to authenticate and connect to the GSMtasks API.

App Tracking
Location tracking performed through the GSMtasks Driver App while a worker is On Duty.

Assignee
The worker currently responsible for completing a task.

Assignee Proximity
A radius around a task location. Based on a worker's distance to it, the task status can automatically change to active or completed, and notifications can be sent.

Assignment
A waypoint type used when work must be completed at one location without a separate pick-up or drop-off.

Attachments
Files added to a task, order, contact, form, or other record, such as PDFs, images, and documents.

Auto Assign
A feature that automatically allocates tasks to suitable workers according to configured rules.

Auto Re-assign
A feature that automatically moves a task to another suitable worker when reassignment conditions are met.

B

Billing & Subscription
The account area used to manage subscription details, invoices, payment methods, and billing information.

C

Calendar
The scheduling view used to review planned work and manage recurring tasks.

Capacity
The amount of work, weight, volume, or other units that a vehicle or worker can handle.

Category
A label used to group tasks with similar requirements, settings, or completion rules.

Client
A customer user or organization that can be given access to selected tasks and account functions.

Client Roles
Permission sets that control what a client user can see or do, including whether they can create tasks and see tasks they created.

Clone Task
A function that creates a copy of an existing task.

Company
The company name stored as part of a contact or orderer.

Completion Requirements
Information that must be provided before a task can be completed, such as a note, photo, signature, signer name, or Custom Field (Metafield).

Completion Time
A route optimization objective that considers task time windows and aims to complete tasks at suitable times.

Contact
A saved person or organization associated with an order or waypoint. A contact may include a name, company, email address, phone number, notes, documents, addresses, roles, and Custom Fields.

Contact Address
A saved physical address linked to a contact.

Contact Roles
Labels describing how a contact is involved, such as Orderer or Receiver.

Coordinates
A location expressed as latitude and longitude.

Custom Fields (Metafields)
Additional fields created by an organization to store business-specific information. Custom Fields and Metafields refer to the same feature.

D

Dashboard
The main operational screen where managers monitor workers, tasks, task states, routes, and map activity.

Default Values
Predefined values automatically applied when creating new tasks or other records.

Destination
The address or coordinates where a task or waypoint must be completed.

Display Name
The name shown next to a worker's icon on the Dashboard map.

Documents
Files stored on tasks, orders, contacts, forms, or other GSMtasks records.

Driver App
The GSMtasks mobile application used by workers to receive tasks, navigate, update task states, and provide proof of completion.

Drop Off
A waypoint where goods, equipment, or materials are delivered.

Duration
The expected amount of time required to complete a task, entered in hh:mm format.

Email Notification
A task or system update sent to one or more email addresses.

External ID
A reference supplied by another system and used to match GSMtasks records during integrations or imports.

Export
The process of downloading GSMtasks data, such as a task list, report, PDF, or XLSX file.

F

Filter
A condition used to narrow the records displayed in a list or on the map.

Folder
A group used to organize routes or tasks together.

Form
A customizable checklist or questionnaire that can be attached to and completed as part of a task.

Form Response
The submitted answers and information collected through a form.

G

Geocoding
The process of converting an address into map coordinates.

Google Place ID
A unique Google identifier for a mapped address or place.

I

Import
The process of adding multiple tasks, contacts, or addresses from an Excel or CSV file.

Import Status
The current stage or outcome of an import, including processing, completed, or failed.

Integration
A connection between GSMtasks and another application or system.

L

Language
The interface language selected for the GSMtasks Dashboard or application.

Legend
The map guide showing the meaning of task-state colours.

Location Permissions
Mobile-device permissions that allow the Driver App to update a worker's location.

M

Manager
A user who can manage daily operations and, depending on permissions, create or edit tasks and worker access.

Map Settings
Options that control what is shown on the Dashboard map, such as Display Name, Legend, Traffic, Show Off Duty, and Satellite View.

Measure Distances
A map tool that estimates distance, total mileage, and travel time between selected points.

Mobile App
Another name used in the interface for the GSMtasks Driver App.

N

Navigation App
A third-party application selected by a worker for directions, such as Google Maps, Apple Maps, or Waze.

Notification
A message sent about a task, order, schedule, or system event.

Notification Channels

Email: Sends the notification to one or more email addresses.

SMS: Sends the notification to one or more phone numbers.

Push: Sends the notification to a supported mobile application.

Notification Recipients

Assignee: The worker assigned to the task.

Contact: The contact linked to the relevant waypoint.

Orderer: The person or organization that requested the order.

Notification Template
A reusable message template for email, SMS, or another supported notification channel.

Notes
Free-text information added to a task, order, contact, event, or completion record.

O

Off Duty
A worker status indicating that the worker is not currently available for active work or location tracking.

On Duty
A worker status indicating that the worker is active in the Driver App and available to receive and complete tasks.

Optimization
The process of calculating a more efficient assignment or sequence of tasks.

Optimization Objectives

Transport Time: Prioritizes efficient travel between tasks.

Completion Time: Considers task completion windows and planned service times.

Optimization Settings
Rules and constraints used during optimization, such as start and end locations, time windows, capacity, task duration, maximum distance, and return to depot.

Order
A collection of one or more linked tasks created and managed together.

Order Information
General information about an order, including the orderer, reference, description, documents, and other shared details.

Orderer
The person or organization that creates, requests, or owns an order.

Order Reference
A reference number or identifier used to recognize an order.

P

Payment Method
A saved card used to pay for a GSMtasks subscription.

Permissions
Rules that determine what a user, role, or client can view, create, edit, or delete.

Pick Up
A waypoint where goods, equipment, or materials are collected.

Proof of Delivery (POD)
Evidence that a task was completed, such as a signature, signer name, image, note, document, or completion details.

Push Notification
A notification delivered to a supported mobile application.

R

Receiver
The person or organization receiving goods, services, or information at a waypoint.

Recurrence
A rule that automatically creates tasks or orders according to a repeating schedule.

Recurring Task
A task generated repeatedly from a recurrence rule.

Reference
A number or text value used to identify a task, order, or record from an external system used during integrations.

Reports
Views or generated documents used to review task, route, form, worker, notification, and operational data.

Route
An ordered sequence of tasks planned for a worker.

Route Optimization
A feature that calculates a suitable task order and assignment based on selected objectives and constraints.

Route Optimization Report
A report showing the results and details of an optimization.

Route Settings
Configuration for a route, such as its name, start address, end address, and related Custom Fields.

S

Satellite View
A Dashboard map mode that displays satellite imagery.

Schedule
The scheduled date and time for a task.

Saved Filters
A filter combination stored as a default or reusable list view.

Search
A function used to find tasks, contacts, users, templates, API keys, webhooks, or other records.

Sequential Completion
A rule requiring linked tasks or waypoints to be completed in a specified order.

Service Time Factor
A vehicle-profile value used to adjust a task's expected duration during optimization.

Signature
A customer's or recipient's handwritten confirmation collected through the Driver App.

SMS Notification
A task or system update sent to one or more phone numbers.

Sorting
Arranging records by a selected field in ascending or descending order.

Speed Factor
A vehicle-profile value used to adjust estimated travel speed during optimization.

Street View
Google's street-level imagery opened from the Dashboard map.

T

Task
A single piece of work completed at one waypoint.

Task Category
A category that can apply shared task settings or completion requirements.

Task Commands
Bulk or queued actions applied to one or more tasks.

Task Details
The complete information stored on a task, including address, assignee, timing, description, files, contacts, and Custom Fields.

Task Events
A chronological record of actions and changes made to a task.

Task Expiry
A time limit after which a task is automatically cancelled or completed.

Task Filters
Filters used to narrow tasks by date, state, assignee, company, category, reference, Custom Fields, or other values.

Task List
The table view used to search, filter, sort, import, export, and manage tasks.

Task Size
A capacity value assigned to a task and used to match it with a suitable vehicle.

Task States

Unassigned: The task has not been assigned to a worker.

Assigned: The task has been assigned to a worker.

Accepted: The assigned worker has accepted the task.

Transit: The worker is travelling to the task location.

Arrived: The worker has arrived at the task location.

Started: Work on the task has started.

Completed: The task has been successfully completed.

Failed: The task could not be completed.

Cancelled: The task has been cancelled.

Scheduled: The task has been planned for a specific date or time.

Task Time Window
The period between Complete After and Complete Before in which a task should be completed.

Timezone
The regional time setting used for task dates, schedules, and account activity.

Tracking Link
A shareable link that allows a recipient to follow the progress or location of a task.

Traffic
Live Google traffic information displayed on the Dashboard map.

Transit Active Limit
A setting that limits how long a task may remain actively In Transit.

Transport Time
A route optimization objective focused on reducing travel time.

U

Unassigned
The task group or state used for tasks that do not currently have an assignee.

Units
Measurement formats used by the account, including kilometres or miles and configured capacity units.

User
A person with login access to a GSMtasks account.

User Roles

Admin: Full account access, including users, permissions, settings, tasks, reports, integrations, and billing.

Manager: Operational access to create or edit tasks and manage worker access, according to assigned permissions.

Worker: Access to receive and complete assigned tasks through the Driver App.

Client: Restricted customer access controlled through Client Roles.

Users & Permissions
The Settings area used to create users and control their access.

V

Vehicle
A car, van, bike, scooter, truck, or other transport resource used to complete routes.

Vehicle Capacity
The maximum configured amount a vehicle can carry or handle.

Vehicle Profile
A reusable vehicle configuration, set up under User Profile settings, containing values such as size, capacity, Speed Factor, and Service Time Factor.

Vehicle Size
A size classification used to match tasks with suitable vehicles.

Visibility
A setting controlling where a field, document, task, or form element is shown and who can see it.

W

Waypoint
A location within an order where a separate task must be completed.

Waypoint Types

Assignment: A single location where a worker performs an activity.

Pick Up: A location where goods, equipment, or materials are collected.

Drop Off: A location where goods, equipment, or materials are delivered.

Webhook
An automated message sent from GSMtasks to another system when a selected event occurs.

Worker
A user who receives and completes assigned tasks through the GSMtasks Driver App.

Worker Location
The latest location reported by a worker's mobile device.
