Task States show the current progress of every task in GSMtasks. Each state is represented by a unique colour, allowing dispatchers and managers to quickly understand what is happening across the entire operation.

Task States update as work progresses in the Driver App, making it easy to monitor jobs in real time.


Why Task States matter

Task States help office staff monitor work without needing to contact drivers.

At a glance, you can see:

  • Which tasks still need to be assigned

  • Which workers have accepted their work

  • Which workers are travelling to a customer

  • Which jobs are currently in progress

  • Which jobs have been completed

  • Which jobs require attention because they failed or were cancelled

Each state also appears using its own colour throughout the Dashboard, making it easier to identify work in progress.

UNASSIGNED
​White

The task has been created but hasn't been assigned to an employee yet.

It can be found under the unassigned tasks section on the dashboard.

ASSIGNED

Blue

The task has been assigned to an employee.

It can be found under the respective driver section.

ACCEPTED

Dark blue

The task has been accepted by an employee.

It can be found under the respective driver section.

ACTIVE

Bright green

The employee has begun working on the task (task has been activated in the driver app).

TRANSIT

Purple

The employee has begun moving towards the client.

COMPLETED

Dark green

The task will be completed when the worker has arrived at the location and completed the necessary task details.

The driver has to mark the task completed in the driver app.

FAILED

Yellow

The task couldn't be completed for some reason but can be finished by the same employee later that day (the driver has marked the task failed in the driver app).

The task can also be assigned to a new worker by the manager or completed at a future date).

CANCELED

Red

Tasks can only be canceled by a manager.


Typical task workflow

Most tasks follow this sequence:

Unassigned → Assigned → Accepted → Transit → Active → Completed

If a task cannot be completed, it may instead become:

Failed or Cancelled


Where can I see Task States?

Task States appear throughout GSMtasks, including:

  • Dashboard Map

  • Task List

  • Routes

  • Driver App

  • Reports

  • Filters

The colour assigned to each state remains consistent throughout the platform.


Filtering by Task State

You can quickly filter the Task List to show only tasks in a specific state.

For example, you can display:

  • Only Completed tasks

  • Only Failed tasks

  • Only Unassigned tasks

  • Only Active tasks

This makes it easier to manage large numbers of daily tasks.


Frequently Asked Questions

Can I change a task's state manually?

Task States usually change as the worker progresses through the task in the Driver App. Depending on your permissions and workflow, managers may also update certain task states from the Dashboard.

Why is my task still Unassigned?

The task has been created but has not yet been allocated to a worker.

Why is my task Failed?

A worker marked the task as unsuccessful because it could not be completed. The reason depends on your organization's workflow and/or any obstacles that took place during the task.

Why can't I see Completed tasks?

Check your Task List filters and selected date range.
