How to merge user accounts

Merging accounts should only occur when a single user has multiple accounts. This process is not intended for combining accounts belonging to different individuals.

If a person has been added as a user to a center multiple times under two different emails, those two accounts can be merged so that they will only have one log in to access anything that has been shared with them. Anything shared with the first account that was merged with the second account will be retained in the second account.

Users with the "Manager" user role are able to merge user accounts from the "Users & Groups" list.

From the Users & Groups list, search for the user that you no longer want to keep. This is the user that will be merged into the second user. Once you find the user, hover over their name and click the "edit user" pencil icon that appears to the far right.

On the edit user screen, click the "Merge with another user" button at the top of the screen.

A prompt will appear that asks you to pick the user account that you want to merge this account into.

This account that you are choosing is the account that will be kept.

Select a name from the list, and then click "Merge User."

Once you click Merge Users, you will be asked to confirm.

Please review this step carefully, and make sure you are deleting and keeping the correct user.

This cannot be undone.

Once you click "Merge Users" you will see a message at the bottom letting you know that the merge may take a few moments to complete.

Once the merge has been completed, all of the information from the deleted user, as well as any active shares or activity history, will be reassigned to the kept user:

  • Interview custody

  • Shares the user had access to

  • Files uploaded by the deleted user will show as uploaded by the kept user

  • Downloads created

  • Live Sessions

  • Messages

  • Requests

  • Interview History

  • Interview Notes

The merging of the accounts will also be reflected in the user history of the kept user.
