Sharing with Prosecution for Discovery

When you share an interview in Guardify with a Prosecution user, you have the option to share it with them so that they will be the Discovery Lead for that specific interview, which allows them to share the interview on with other users with "Prosecution" or "Defense" set as their organization type.

This feature allows them to share the interview, as well as add additional prosecution or defense users without the need for approval from the CAC.

To share an interview with a prosecution user and make them a discovery lead, go to your "Interviews" page and click "share" on the interview you want to share.

On the share screen that appears, click the "Discovery" tab at the top left.

Note: If the "Add Shared Access" box with your list of users automatically pops up before you can click the discovery tab, just click cancel, and then click the discovery tab.

The "Add Discovery Lead" box with your list of prosecution users will pop up, showing you a list of existing Prosecution users who already have Guardify accounts. You can also click "New User" to add them as a new user if they do not already have a Guardify Account.

Select your user, and click "add."

Once you have selected the prosecutor you want to share the interview with you can then set the amount of time you share the interview with them, as well as check the boxes for any of the permissions you'd like them to have access to for that interview, just like any other share.

Whatever amount of time or permissions that you select for a prosecution lead will be the maximum amount of time and permissions that they will be able to give to other users that they share the interview with. They cannot share it for longer than they were given access to the interview, and they cannot give share permissions that they were not granted.

Once you have selected the permissions for this user, click "save" and the user will be notified via email that an interview has been shared with them, and they can log in and access that interview as needed, as well as share it on with other prosecution or defense users.

When a discovery lead does share an interview with a prosecution or defense user, you will be able to see those shares on the share screen for that interview.

The "discovery role" column on the share screen will say "viewer" for any users that your discovery lead has shared the interview with. It will say "lead" for any prosecution users that you have made discovery leads when sharing the interview.

Discovery Lead FAQ

What type of user can be a Discovery Lead?

  • Only users who have "Prosecution" as their organization type can be made discovery leads.

  • Prosecution users with the "Manager" "Interviewer" or "Viewer" role can be made discovery leads.

Who can a Discovery Lead share an interview with?

  • A discovery lead will be able to share an interview with any existing users that have "Prosecution" or "Defense" as their organization type.

  • A discovery lead will be able to share an interview with new users, and only be able to select "Prosecution" or "Defense" as the organization type when creating those new users. Those new users will be "viewer" role only.

When a discovery lead shares an interview with another user, what features are they allowed to share?

  • A Discovery Lead can only give as many permissions as were initially given to them when the interview was shared with them.

    • Example: if you share an interview with a Discovery Lead prosecutor and give them the ability to see the tags but not download the interview, that prosecutor will be able to share that interview with their defense attorney with the ability to see the tags, but not download the interview.
