Pro: Share Permissions

A case owner has full access to a number of share permissions that they can give to a user when a case is shared. All of these permissions can be viewed or modified on the Share Access screen after clicking "share" on a case.

  • Status: Shows you a color coded access status for each share.

    • Scheduled: the share has been scheduled but not yet sent.

    • Opened: the case was opened by the recipient.

    • Unopened: the case was sent but has not been opened.

    • Expired: the case share has been revoked.

  • Reminders: Sends a reminder email to the user every few days to let them know a case has been shared with them. Reminders stop after the case is opened for the first time.

  • Access Starts: You can set the exact date and time that you'd like the share to start for this user. Click the calendar icon to change the start date, and the clock icon to pick a time.

  • Access Expires: You can set the exact date and time that you'd like the share to end for this user. Click the calendar icon to change the start date, and the clock icon to pick a time.

  • Evidence Receipt: Is a digital receipt that the user will see each time they click in to view the case. This receipt will show a terms of use that they must read and accept before they can view the case. You can also edit the evidence receipt by clicking "edit" after checking the box to add an additional details to the receipt that they view. Enabling this evidence receipt will log in the case history that they accepted the terms and also show a list of all evidence that was shared with them.

  • Admin: This will allow the user to have admin/owner abilities to the case you are sharing with them. Checking this box will give them all permissions available, as well as allow them to share the case on with other users.

  • History: Gives the user access to view the history of that case since it was uploaded to Guardify.

  • Tags: Gives the user the ability to view any public tags, as well as create their own tags for streaming audio or video evidence that was shared with them.

  • Transcript: β€œView” gives the user the ability to view the closed captioning for streaming audio and video files, which includes the original transcript generated for each video. Clicking the drop down box and changing their access to β€œEdit” gives the user the ability to view the transcript, as well as edit their own draft of the original generated transcript for each video.

  • Insights: Gives the user the ability to view the AI Generated Insights summary for each streaming video shared, as summarized from the transcript. The "Transcript" share permission must be enabled in order to be able to share Insights.

  • Download: Original download access is given by default. This allows any streaming video and audio files to be downloaded. If you do not want streaming files to be downloadable, uncheck this box. Clicking the drop down and selecting "Encrypted" allows the user the ability to download the protected "encrypted" download of that file only.

  • Upload: Gives the user the ability to upload additional files to the case.

  • Files: You choose which attachments (video, audio, and/or documents) to share with that user. Checking the box allows you to choose all files, pick and choose specific ones to share, or choose a "Share all current and future attachments" option, which will share any future uploads with that user automatically.

  • CC Me: Sends you (the sharer) a copy of the email notification that this user receives when the case is shared with them, so that you can forward the email to the user if they say they did not receive the notification.

  • Resend: Clicking the arrow to the far right will resend that user their notification email.

  • Revoke: Clicking the minus sign to the far right will revoke that user's access to the case.
